POSITION SUMMARY. The Program Support Analyst’s (PSA) primary responsibilities will be in support of all direct and indirect continuous improvement efforts within the Delivery organization. This entails the coordination of program activities including customer interviews and engagement groups including the coordination of customer feedback processes and the tracking, maintenance and reporting of vendor schedules and resource activities, and the preparation of reporting deliverables for leadership and customers. The PSA will work closely with identified Delivery, IT Support, and Finance team members to ensure that all appropriate tasks, reports and documentation are completed in a timely and approved manner. The PSA will also support the entire Delivery organization with third-party vendor/partner efforts including responsibility for tracking and completing the administrative functions related to the onboarding and administrative paperwork necessary to engage our professional services and extract partners.
The PSA will assist other office-based personnel in managing day-to-day office duties as requested as well as prepare for and assist with office meetings as needed. As such, this is an in-person, office-based position.
JOB DUTIES and ESSENTIAL FUNCTIONS. A qualified individual must be able to perform these essential functions of the job as listed, with or without accommodation.
- Manage/maintain scheduling for customer feedback interviews and document completed work as needed. Consolidate customer interview feedback for reporting to Director and Solution Delivery/company leadership.
- Coordinate and support Delivery, Product and Sales teams planning and follow up efforts for customer advisory and focus groups.
- Coordinate the activities of MediQuant Data Extract Vendor and Professional Services Partners including:
- Operational setup
- Required onboarding/security activities
- Conducting regular status checks
- Tracking and communication of project status, required assessments and assigned training
- Providing regular report-outs to Solution Delivery and company leadership
- Manage and maintain monthly Solution Delivery activities and reporting via Workfront including Custom Report requests, Team Hours Reporting, Project scope and template changes, company communications and calendars.
- General administrative functions:
- Greeting office visitors and determining access to appropriate parties
- Coordinating onsite meetings and other company activities/events including onsitelogistics and MQ IT Support
- Primary contact for communication for office/company
- Coordinating onsite office compliance activities (fire extinguishers, secure shredding)
- Retrieve and sort mail
- Office supply inventory and ordering
- Coordinating travel discount renewals (hotel, rental car, etc.)
- Assuming responsibility for facility issues and communications with building management.

Required Education and Experience:
- Associate’s degree in business administration, marketing or communications and greater than one year of experience or high school diploma and two years of experience working in an administrative position in lieu of degree.
- Must be highly proficient in MS Office applications, i.e. Outlooks, Word, Excel, and PowerPoint
- Able to work in a team environment and make connections with remote teammates
- Able to work independently with minimal guidance from the Director, as well as working collaboratively with varied project teams

Additional Eligibility Qualifications:
- Experience with project management software, e.g. Microsoft Project, Workfront, Workday, etc.
- Experience with customer relationship management software, e.g. Salesforce, MS CRM, etc.
Work Environment. This job operates in a professional office environment and routinely uses standard office equipment such as computers, phones, printers, and photocopiers.
Physical Demands. While performing the duties of this job, the employee is regularly required to talk or hear. The employee frequently is required to sit for long periods of time, stand; walk; use hands to finger, handle or feel; and reach with hands and arms. The employee is occasionally required to climb or balance; and stoop, kneel, crouch or crawl. The employee must occasionally lift and/or move up to 10 pounds and occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
Position Type and Expected Hours of Work. This is a full-time hourly position. Hours of work and days are typically Monday through Friday, 8:30 a.m. to 5 p.m. Some flexibility in hours is allowed, but the employee must be available during the “core” work hours of 9:00 a.m. to 3:30 p.m. and must work a minimum of 40 hours each week to maintain full-time status. Overtime must be approved in advance. Occasional evening and weekend work may be required as job duties demand.
Travel. Little to no travel is expected for this position, however, infrequent travel to company meetings or professional development opportunities may be required.
Work Authorization. In compliance with Federal employment laws, MediQuant will verify the identity and employment authorization of each person hired. Additionally, on the Government Contract, the PMA applicant must be a U.S. citizen and applicant selected will be subject to a security investigation and must meet requirements to obtain a Public Trust clearance
Security Clearance. Must be able to pass all security clearances mandated by various government contracts as well as client hospital/healthcare security requirements. Any employee working on government projects will be required to successfully pass a government background check and receive a Common Access Card (CAC). Additionally, the applicant must be a U.S. citizen and will be subject to a Public Trust security background investigation and must meet requirements to obtain a Department of Defense (DOD) network account.
