What are the responsibilities and job description for the EMS Operations Central Scheduler position at Medstar Ambulance?
The Central Scheduler is responsible for creating and managing schedules across the organization to ensure operational efficiency and resource alignment with demand. This role requires close collaboration with Operations to address open shifts, attendance control, schedule efficiency, and other staffing related items. The Central Scheduler will be responsive and will maintain positive communication with all team members to support a safe, efficient, and well-staffed operation.
Essential Duties and Responsibilities
- Coordinate daily scheduling to align with operational resource and demand targets.
- Prepare and maintain schedules for all divisions, including the creation of schedule templates.
- Add special events to the schedule as needed, develop shifts to ensure appropriate special event coverage.
- Manage time-off requests and shift trades.
- Generates daily, weekly, monthly, and quarterly reports demonstrating schedule performance and metrics.
- Schedule team members for mandatory training and educational development programs.
- Generate and print reports as required by Medstar or local medical controls, ensuring compliance with certifications and scheduling policies.
- Administer performance recognition system, generate recognition communications, interact with operations managers and senior leaders regarding performance recognition
- Handle confidential and sensitive information appropriately, disclosing only as required by law.
- Conduct continuing education audits per Medstar policies.
- Approve timecards and address daily discrepancies.
- Administer attendance control system, generate corrective action notices, interact with operations managers and senior leaders regarding attendance issues
- Prepares a clean timekeeping file for submission to payroll.
- Manage payroll exports accurately and timely.
- Adhere to all company policies and procedures.
- Work both independently and collaboratively as part of a team.
- Coordinate the shift bid process, ensuring smooth execution.
- Verify that all Medical Control requirements for employees are met before assigning them shifts in specific MCAs.
Qualifications
Required:
- Minimum of two years of EMS field experience as an EMT or Paramedic.
- Knowledge of local Medical Control protocols and EMS regulations.
- Proven ability to plan and achieve goals using extensive experience and sound judgment.
- Performs all job functions without bias or prejudice
- Proficiency in maintaining departmental and system records.
- Strong computer skills, including proficiency in Microsoft Office Suite specially including Excel and Word.
- Experience in analyzing processes and implementing process improvement programs.
- Excellent verbal and written communication skills, including strong grammar skills.
- Ability to build and sustain positive interpersonal relationships.
- Strong organizational abilities and attention to detail.
- Demonstrated ability to maintain positive behavior and a customer-focused approach towards coworkers, agency personnel, and visitors.
