Dispatcher Job Description
Position Summary: The primary job responsibilities of the Dispatcher at Medtrek Medical Transport are to receive telephone calls requesting medical transportation from healthcare facilities, coordinate the dispatch of medical units, and ensure efficient communication between field personnel and dispatch operations. The dispatcher will prioritize calls, assign appropriate units, and track all active transports to maintain efficiency and service quality.
Dispatchers operate radio communication equipment to monitor field operations and provide updates to both internal teams and external partners as necessary. They also handle all incoming calls, ensuring requests are processed in a timely and professional manner.
Essential Functions: The Dispatcher may be assigned one or more of the following duties, including but not limited to:
- Receive and prioritize incoming telephone calls for interfacility medical transport services.
- Dispatch vehicles to transport patients between medical facilities, ensuring efficiency and timeliness.
- Monitor field unit locations and statuses using Computer-Aided Dispatch (CAD) or other tracking software.
- Communicate effectively with field staff, ensuring clear instructions and response coordination.
- Obtain all required transport details, including patient information and facility requirements.
- Maintain professional communication with hospitals, nursing homes, and other medical facilities.
- Troubleshoot equipment or logistical issues and report them to the supervisor as needed.
- Participate in ongoing dispatcher training programs and competency evaluations.
- Maintain accurate records of all dispatched runs, delays, and any issues encountered.
- Ensure compliance with Medtrek Medical Transport’s policies and operational protocols.
- Work closely with management to maintain on-time performance and high-quality service.
- Identify and report potential operational problems to the Operations Supervisor.
- Run reports from the dispatch system as requested by management.
Additional Duties:
- Attend all communication and operational meetings as required.
- Maintain a positive, professional, and courteous demeanor with staff, patients, and facility personnel.
- Assist in investigations of transport-related incidents when required.
- Perform other job-related duties as assigned by the Communications Supervisor or Operations Manager.
Qualifications: To perform this job successfully, an individual must be able to perform each essential duty satisfactorily. The requirements listed below represent the knowledge, skills, and abilities required:
- Strong interpersonal and communication skills, with the ability to work effectively with diverse teams, supervisors, and external customers.
- Ability to multitask in a fast-paced environment while maintaining attention to detail.
- Computer proficiency, including experience with Microsoft Office Suite and dispatch software.
- Typing speed of at least 40 words per minute.
- Ability to consistently deliver excellent customer service.
- Highly dependable with strong organizational skills.
- Flexible and adaptable to rapidly changing priorities.
- Knowledge of medical terminology is required.
- Knowledge of Naples, Florida, and surrounding areas to facilitate transport logistics.
- Experience in EMS, dispatch, or related fields preferred but not required.
- Familiarity with CAD systems and GPS tracking software is an advantage.
Education Requirements:
- High school diploma or GED required.
- EMT certification preferred but not required.
Physical Requirements:
- Must be able to sit for extended periods and operate a computer and telephone system.
- Ability to multitask between phone, computer, and radio systems.
Work Schedule & Conditions:
- 12-hour shifts, with dispatchers working 2 to 3 shifts per week.
- Work is performed in an office environment with moderate noise levels.
- Must be able to handle high-stress situations and make quick decisions.
