The Administrative Assistants responsibility is to ensure the office operates efficiently and smoothly and to liaise between inter-office departments. The Administrative Assistants must be creative and enjoy working within a small, entrepreneurial environment that is mission- and results-driven. The ideal teammate is highly organized, detail-oriented, self-motivated, and has strong written and verbal communication skills.
Responsibilities:
- Performs receptionist duties: greet visitors and answer and direct phone calls.
- Provides administrative support as necessary, including scheduling group meetings, maintaining calendars, doing research, and creating reports.
- Provides a bridge for smooth communication between internal departments, demonstrating leadership to maintain credibility, trust, and support.
- Prioritizes conflicting needs; handles matters expeditiously, proactively, and follows through on completing projects, often with deadline pressures.
- Ensures all project-related information/updates, reoccurring tasks, and new assignments are entered into the team management application.
- Manages office supplies inventory and places orders as necessary.
- Act as administrator on vendor accounts and assist other departments using the accounts when needed.
- Receives and sorts incoming mail and deliveries and manages outgoing mail.
- Identify opportunities for process and office management improvements and ensures processes are implemented appropriately.
- Other duties as assigned.
Qualifications
Qualifications for Administrative Assistant
- Bachelor's degree in business administration, communications, or a related field preferred.
- 1-3 years of work experience in an administrative/office management role.
- Must have exceptional attention to detail.
- Strong organizational and time management skills, and ability to prioritize.
- Excellent communication and interpersonal skills.
- Advanced problem-solving skills and analytical abilities.
- Be able to pass a background check and screening requirements as required by contract and company standards.
- Proficient in Microsoft Office (Outlook, Word, Excel, and PowerPoint), Adobe Acrobat, and Social Media web platforms.
