Essential Functions:
Client and Visitor Reception:
- Greet clients and visitors, ensuring they feel welcomed and assisted in a professional manner.
Call Management:
- Answer and route incoming calls using a multi-line phone system, relaying accurate messages to appropriate staff members.
Office Cleanliness:
- Maintain cleanliness and sanitize various areas of the office, including common spaces and reception.
Mail and Document Handling:
- Sort, open, scan, and distribute incoming mail, faxes, and packages promptly.
Administrative Support:
- Assist with special projects, administrative tasks, and other duties as assigned by management.
Supply Management:
- Monitor and manage office supply inventory and request restocking as needed.
Compliance and Confidentiality:
- Adhere to all legal and ethical standards regarding client confidentiality and information handling.
- Ensure compliance with relevant laws, regulations, and firm policies.
Continuous Improvement:
- Proactively identify opportunities for process improvement and increased efficiency within the reception workflow.
- Participate in training sessions and professional development activities to continuously enhance job skills and knowledge.
Qualifications:
- High school diploma or equivalent
- Minimum of one (1) year experience operating a multi-line phone system.
- Previous experience in a law firm or professional office environment is preferred
- Bilingual (English/Spanish) is highly preferred
