JOB SUMMARY

Under the supervision of the Health Information Management (HIM) Director, the Medical Records & Transcription Supervisor manages the daily operations of the Health Information Management (HIM) Medical Records and Transcription Department. The supervisor will oversee record scanning, record completion, release of information, patient portal, record storage, record destruction, FormFast, and transcription. Strives for superior performance by consistently providing a product or service to leadership and staff that is recognized as ultimately contributing to the patient and family experience. Recognizes and demonstrates understanding of patient and family centered care.

PRIMARY JOB RESPONSIBILITIES

  • Manage the day-to-day Operations of the Medical Records and Transcription Department.
  • Directs and supervises all functions of Medical Record Department including record completion, transcription, release of information, documentation compliance, patient portal, scanning, record storage and retrieval of records.
  • In dept knowledge of local, state, and federal laws pertaining to medical records. Assures compliance with all HIPAA regulations concerning use, retrieval, storage, and sharing of medical records.
  • Designs and implements medical records policies and procedures to ensure departmental and facility operations comply with state and federal regulations.
  • Ensuring that only authorized individuals have access to patient information and that all releases comply with HIPAA, company policy, and other regulations.
  • Responsible for the release of confidential medical information, upon receipt of a properly executed authorization to a variety of requestors.
  • Reviews subpoenas and requests for medical records from attorneys and other agencies.
  • Responds to subpoenas, court orders and attends court appearance when necessary.
  • Manage record storage for the hospital and MMA (Covenant Eyes Building).
  • Manage the shredding services and Shred Hub account.
  • Manage the Forms Fast system. Create forms in Form Fast software, including applying bar codes on the forms, patient identification, and / or participate in departmental-wide form promotion.
  • Responsible for Record of Care Chapter Compliance and Audits for Joint Commission and updating appropriate processes and staff as necessary.
  • Assist with patient amendments.
  • Manage the Patient Portal system and manage calls / email volume.
  • Oversee record completion and work directly with the Medical Staff Office on deficiency and suspension processes.
  • Ensured employee productivity met the established standards and all functions remained current.
  • Assist with Time & attendance, hiring, performance appraisals, disciplinary actions, training, work distribution and flow, and employee engagement.
  • Assist with transcribing reports as needed. Work every third weekend to cover transcription.
  • Reviews / audits medical records for accuracy and completeness.
  • Participates in organization-wide quality improvement initiatives as requested.
  • Uses interpersonal skills effectively to build and maintain cooperative working relationships.
  • Handles difficult and sensitive situations tactfully.
  • Maintains appropriate level of supplies.
  • Demonstrate knowledge of, and support, Memorial Healthcare’s mission, vision, value statements, Standards of Behavior, policies and procedures, operating instructions, HIPAA Privacy and confidentiality standards, corporate compliance plan, code of ethical behavior and commitment to services excellence.

  • JOB SPECIFICATIONS

    EDUCATION

  • High school graduate or equivalent required.
  • Associate degree in Health Information or related filed is strongly preferred.
  • Registered Health Information Technician (RHIT), Certified Healthcare Documentation Specialist (CHDS) is preferred.
  • EXPERIENCE

  • Minimum of 5 years of experience in medical records in an acute care setting required.
  • Knowledge of regulations and accreditation standards, State and Federal requirements and standards related to the management of health information. Knowledge of The Joint Commission standards preferred.
  • Expertise in healthcare compliance : Knowledge of privacy and security regulations, confidentiality, laws, access and release of information practices.
  • Thorough knowledge of accepted hospital medical-records practices including medical records ethics, classification, and nomenclature.
  • Demonstrated experience in leadership with exercising judgment in problem solving.
  • ESSENTIAL PHYSICAL ABILITIES / MOTOR SKILLS

  • Able to travel independently throughout all Memorial Healthcare facilities.
  • Small motor skills required for operating modern computer, office, and telephone equipment as utilized by Memorial Healthcare.
  • Access and move moveable file shelf units.
  • Able to bend, stoop, reach overhead to retrieve and place data in filing system, and to operate moveable file shelf units.
  • Ability to operate modern office machinery and equipment.
  • Able to operate computer keyboard.

  • Proficiency using modern office, computer and telephone equipment as used by Memorial Healthcare.

  • Ability to adapt and maintain focus in fast paced, quickly changing or stressful situations.
  • Ability to read and interpret a variety of documents including, but not limited to policies, operating instructions, white papers, regulations, rules and laws.

  • Able to see for the purpose of reading information received in formats including but not limited to paper, computer, reports, bulletins, updates, manuals.
  • Able to hear for work-related purposes.
