MEP Green Design & Build is seeking an Office Manager/Business Development Assistant to support daily operations and assist in driving business development initiatives. This dual-role position requires strong organizational skills, a proactive attitude, and the ability to work collaboratively within a fast-paced environment. We are looking for someone with a business development mindset and a creative personality—a candidate who can not only support BD initiatives but also elevate our brand image and marketing materials with a keen eye for design.

Office Management (40%):

Job Description: Office Manager/Business Development Assistant

Responsibilities
Office Management (40%):
- Oversee daily operations of the Houston HQ office, ensuring smooth and efficient functioning.
- Manage office supplies, equipment, and vendor relationships.
- Coordinate schedules, meetings, and travel arrangements for staff and leadership.
- Act as a point of contact for internal and external communications, including correspondence and inquiries.
- Maintain and organize company files, records, and databases.
- Assist with HR-related tasks such as onboarding, training, and maintaining employee records.
- Maintain communication and schedules for the cleaning crew, landscaping team, and other service providers.
- Ensure the office is presentable and clean on a day-to-day basis, including preparing for client meetings held at the office.
- Stock the kitchen with snacks and beverages and manage the ordering of these items.
- Manage inventory and orders of office supplies and equipment, including printer toner, ink cartridges, pens, paper, etc.
- Water all plants regularly to maintain a pleasant office environment.
- Assist the President's assistant with tasks such as maintaining PE licenses across 50 states, ensuring renewals are completed in a timely fashion.
- Assist in tracking invoice due dates to ensure payments are made on time.
- Outreach Support: Work closely with the Business Development team to support outreach to architects, developers, and contractors.
- Lead Generation:
- Actively research leads and collect contact information via cold calling, internet searches, and platforms such as ConstructConnect and LinkedIn.
- Investigate new business and project opportunities as they arise (e.g., sending out mass emails daily to generate new opportunities and promote company name recognition).
- Proposal and Contract Management:
- Aid leadership in contract development, handle negotiations, and perform due diligence.
- Track and monitor the status of all upcoming bid proposals and future project opportunities.
- Marketing and Presentation Support:
- Assist with drafting business plans, sales pitches, presentations, reference material, and other documents as required.
- Consistently update, maintain, and organize business development materials as needed.
- Update all marketing presentations and brochures regularly, ensuring alignment with company branding and market needs.
- Strong organizational and multitasking skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Publisher).
- Familiarity with design software such as Canva, Adobe InDesign, and others is a plus.
- Excellent written and verbal communication skills.
- Experience in business development, sales, or marketing is preferred.
