Position Summary

Are you a proactive and detail-oriented professional with a passion for maintaining top-notch facilities? Join our team as a Facilities Coordinator and play a crucial role in ensuring our buildings are clean, safe, and fully functional. You'll evaluate, plan, coordinate, and communicate maintenance activities, building operations, and construction projects with vendors, service providers, and internal stakeholders.

What You'll Do:

  • Support Operations: Assist the Facilities Manager in planning, coordinating, scheduling, managing, and updating all aspects of facility operations, including maintenance, security, repairs, and renovations.
  • Vendor Management: Manage contracts for service providers to ensure service standards are met.
  • Project Oversight: Oversee projects related to facility upgrades, renovations, and office moves.
  • Work Order Monitoring: Monitor the work order system to ensure facility-related concerns or issues are addressed promptly and professionally.
  • Daily Inspections: Perform daily facility inspections to identify deficiencies and develop corrective action plans.
  • Stakeholder Collaboration: Collaborate with internal stakeholders to identify and address maintenance issues.
  • Preventative Maintenance: Develop and maintain preventative maintenance schedules for building systems and operating equipment using MEPPI’s business systems.
  • Budget Management: Assist in managing the facility budget by tracking expenses, identifying cost-saving opportunities, and forecasting future costs to ensure efficient operation of MEPPI facilities.
  • Long-Term Planning: Participate in the development of long-term plans for facility maintenance, upgrades, and improvements.
  • Relationship Building: Develop and maintain relationships with vendors and contractors. Coordinate repairs and maintenance with them.
  • Documentation: Organize, digitize, and maintain all inspection, maintenance records, repairs, and construction documents using MEPPI’s business systems.
  • Reporting: Create facility condition reports and heat maps.
  • Professional Image: Further the goals and positive, professional image of the company through effective dealings with contractors and other internal departments and divisions.
  • Policy Knowledge: Know MEPPI’s Quality, Safety, and Environmental policies and discuss their importance and impact on work.
  • Backup Role: Serve as backup to the Facilities Manager during times of absence.

What You Will Offer:

  • Education: Bachelor’s degree in Facility Management or equivalent education and experience.
  • Experience: Minimum of 3 years of experience in managing facilities, facility operations, and maintenance processes.
  • Knowledge: Advanced knowledge of safety regulations, building codes, and environmental standards.
  • Skills: Advanced interpersonal and communication skills to effectively communicate with employees and vendors.
  • Adaptability: Ability to manage multiple priorities and adapt to change within a fast-paced business environment.
  • Technical Proficiency: Advanced computer skills with emphasis on Microsoft Office products and facility management software.
