The Mercadien Group, a dynamic professional services firm, is seeking an Administrative Assistant to join our team! Responsibilities
- Manage client billing processes, including invoicing and follow-up on outstanding payments
- Schedule and coordinate meetings and appointments for Principals and Directors
- Provide proofreading support for various documents to ensure accuracy and professionalism
- Assist in the preparation of proposals and client intake forms
- Handle client correspondence, including emails, letters, and phone calls
- Maintain organized and up-to-date filing systems
- Provide backup support for team members during peak times
- Assist with reception duties as necessary
- Scan and digitize documents for electronic filing and distribution
- Arrange travel accommodations, itineraries, and logistics for Principals and Directors
- Assist in the preparation of financial statements and reports as required
- Collaborate with team members to ensure deadlines are met and projects are completed efficiently
- Undertake ad hoc projects and tasks as assigned
Requirements
- Must be available to work a minimum of 40 hours per work, between the professional hours of 9am and 5pm
- Must possess superior computer skills, knowledge of Microsoft Office programs (Word, Excel and PowerPoint) and must have adequate typing abilities
- Excellent communication skills
- Proofreading experience or certification preferred
