Day to day as aN Administrative Assistant
As an Administrative Assistant at Mercantile Bank, your day-to-day will involve providing administrative support to various teams, assisting in scheduling meetings, managing correspondences, and maintaining organized records. You will be the first point of contact for internal and external inquiries, demonstrating excellent customer service and a solution-oriented mindset. Collaborating with colleagues to ensure efficient workflow and handling sensitive information with integrity will be key aspects of your role.
Essential Job Functions:
- Schedules and organizes complex activities for several members of the management team.
- Organizes and prioritizes large volumes of information.
- Handles highly confidential and non-routine material and meets deadlines.
- Works independently and within a team on special and non-recurring and ongoing projects. Acts as a project manager for special projects.
- Greets, screens, and directs incoming visitors, employees, calls; monitors and sorts correspondence and proofreads all materials.
- Assists with creating general correspondence, communications, presentations, memos, charts, tables, graphs, business plans, shipping packages, travel, etc.
- Strong attention to detail, follow-through, and follow-up are essential.
- Interacts with the Executive Administrator, Executive Assistants, and Senior Management to accomplish daily, weekly, and monthly tasks as well as special projects.
- Must be comfortable interacting with employees across the entire organization as well as clients, guests, and community leaders.
- Creates and maintains databases, spreadsheets, presentations, communications, and reports as needed (Microsoft Office software skills required: Outlook, Excel, Word, Teams, and PowerPoint).
- Serves as assistant administrator of volunteer tracking platform; prepares weekly data file, creates, and reviews monthly reports, maintains updated engagement elements, reviews and approves group events, and answers employee questions.
- Able to work with audio-visual systems and high-end copier operations.
- Compiles large amounts of data and/or paperwork.
- Assists with coordinating events, scheduling, making catering arrangements, and conference room reservations for visitors, customers, and employees.
- Interacts with facilities to arrange room set-up, prepares conference room schedules, and communicates important details to key staff.
- Monitors conference room schedules and resolves conflicting appointments.
- Orders all office supplies for the Administration Department.
- Coordinates equipment service needs.
- Other duties and projects as requested.
