The Development Administrative Assistant plays a critical role in supporting Mercy Multiplied’s Development Team by ensuring efficient administrative operations, donor engagement, and resource management. This position provides direct administrative assistance to senior development leaders, manages donor communication logistics, and maintains accurate records in Salesforce. Key responsibilities include organizing events and mailings, overseeing donor acknowledgments, compiling reports, and coordinating tours. Additionally, the role includes mailroom oversight, ensuring timely fulfillment of resource orders, maintaining inventory, and facilitating large mailings. This role requires exceptional organizational skills, attention to detail, and a commitment to Mercy Multiplied’s mission and Christian values.
Education: College degree preferred or experience with similar job functions. Must have a high school diploma or pass a general education development exam (GED).
Skills: Demonstrated proficiency in administrative/clerical and computer skills, along with organizational abilities. Excellent interpersonal, oral, and written communication skills necessary. Multi-task oriented, excellent time management, and great attention to detail. Basic computer skills, proficient in Microsoft Outlook, Word, and Excel. Must have excellent organization and writing skills. Willingness to be flexible and help out in other areas at any time. Ability to work independently and within a team environment and exercise mature judgment. Must have a thorough understanding of, and dedication to, the vision of Mercy Multiplied, along with demonstrated Christian work ethics.
In the Development Administrative Assistant position, you will be responsible for but not limited to the following:
Development Responsibilities:
- Serves as administrative support for Senior Director, Engagement & Development Strategy and National Director of Philanthropy.
- Compiles and distributes Development Team Weekly reports.
- Ensures scheduled tours are on appropriate calendars and conference room reserved.
- Adds notes and uploads communication in Salesforce.
- Oversee mailings (top donor, magazines, thank you notes, books, onesies, etc.).
- Proof eblasts.
- Organize birthday card mailings and donor thank you cards.
- Upload Birthday Card Sent in APSONA
- Follows up with donors interested in cause marketing.
- Keeps calendars updated with events and Nancy speaking engagements, projects for staff as appropriate.
- Reviews Daily Cash Receipts, communicates any relevant news to appropriate team members and adds any relevant note and/or prayer requests to Salesforce.
- Manages tracking list for Friends of Mercy Luncheon, Run for Mercy participation, Merry Mercy Christmas Benefit and other events that may be scheduled.
- Prepares and submits expense reports.
- In busy seasons provide back up support for Treasury with processing mail
- Helps Treasury with weekly Donor Acknowledgements
- Other Administrative Support services as needed for Development Team.
- Gives tours of Corporate and the Nashville Home.
- On call rotation to take Treasury calls
Mailroom Responsibilities:
- Responsible for executing all resource shipping directives from staff.
- Ensure timely fulfillment of all customer orders including those placed online.
- Ensure resource needs are met in a timely manner for all Mercy Multiplied affiliates.
- Maintain stock in supply room for future mailings, including postage, envelopes, boxes, labels, etc.
- Oversee daily mailroom processes and functions to establish efficiencies and effectiveness of mailroom and implement best practices.
- Ensure extreme care is afforded and performance is compliant with Executive Office and Development over donor acknowledgement letters, new donor packets and mailing of all letters and packages.
- Train and ensure a backup to oversee daily mailroom processes and functions when out of the office.
- Stay up to date with large mailings and plan ahead for needed volunteers.
- Complete Staff Order Forms and how they are utilized.
- Keep Mailroom Procedure Manual up to date.
- Add funds to USPS Machine.
- Reconcile UPS account monthly, after information is provided from accounting.
- In conjunction with Resource Director manage merchandise/resource monthly/annual physical count process.
Schedule: Monday - Friday 8:00 am - 5:00 pm (40 hours/week)
Compensation: $19 - $21/hour

The Mercy Multiplied Center for Wellness and Counseling is Mercy’s free-of-charge Outpatient counseling Program for men and women aged 13 and older. Our Outreach Services train and resource men and women to effectively support and minister to those who are hurting and struggling through workshops, videos, podcasts, discipleship teaching, and other practical resources.
