Education: College degree preferred. Must have a high school diploma or pass a general education development exam (GED).
Skills: Professional appearance is required for this position as it is often the very first impression one has of the ministry. Demonstrated proficiency in administrative/clerical and computer skills, along with effective interpersonal and organizational abilities. Excellent experience in Microsoft Word, Excel, and Outlook. Multi-task oriented, excellent time management skills, and flexibility with scheduling and daily work agendas. Proven professional verbal and written communication skills, telephone etiquette and great attention to detail. Must be dependable and able to work alone. Must be a team player and flexible to help as needed. A thorough understanding of, and dedication to, the vision of Mercy Multiplied. Demonstrated Christian work ethic and a discerning approach to the sensitive and confidential nature of all matters related to those the ministry serves.
In the Intake Coordinator & Front Desk Manager position, you will be responsible for but not limited to the following:
• Functions as the sole Intake Coordinator for the Monroe location, facilitating completion of applications for counseling and scheduling clients for their initial and follow-up sessions.
• Provides administrative support for the counseling department to include responding to emails and phone calls
regarding the scheduling/re-scheduling of clients.
• Ensure clients complete all paperwork required for entrance into the non-residential program.
• Manages local referral list: maintaining accurate and current population of referrals, assisting in research of new
referral potentials, and providing referrals through email, phone, and/or letter.
• Makes oneself available for General Calls regarding the non-residential program as needed.
• Completes projects as assigned that benefit and increase efficiency of the intake process for the non-residential
program.
• Works with Programs Data Analyst to troubleshoot any issues with ETO regarding the Intake Portal or
Touchpoints.
• Works with Programs Data Analyst on data and reports as needed.
• Provides a monthly report to the Program Director on the number of applications, number of referrals sent, and
number of general emails sent.
• Manages the use of tablets as it relates to the intake process. Ensure they are taken care of, in working order, and
updated as necessary.
• Receives and hosts visitors in a polite and courteous manner and notifies appropriate person or department of
their arrival. Customer service is of the utmost importance.
• Answers phones in a professional manner and directs calls to appropriate person.
• Stays knowledgeable concerning procedures for handling certain types of phone calls and requests.
• Ensures that staff providing relief for front desk (i.e. breaks/lunch/PTO) are kept up to date on rules and
procedures concerning phone calls and receiving guests, etc.
• Receives all deliveries (USPS, UPS, Federal Express, office supplies, etc.) and contacts the appropriate department
for pickup.
• Stock supplies such as forms used in front office and lobby areas, bottled water for guests, and notifies
appropriate staff when supplies are low.
• Maintains clean and orderly workspace in the front office/lobby area maintaining and protecting confidentiality.
• Performs general clerical duties and email responses, as needed.
• Disperses all information left at the reception desk to appropriate departments (Program Director, Community
Relations Manager, Counseling, etc.).
• Facilitates referrals to the residential program per procedure.
• Facilitates patient flow by notifying the counselors of client’s arrival, being aware of delays and communicating
with client’s and counseling staff.
• Schedules and cancels appointments.
• Directs issues or potential issues to the Program Director.
• Provides positive customer relations in dealing with patients, families, physicians, members of the healthcare
team, referral sources, services agencies and others.
• Validates patient’s acceptance into the Mercy Wellness and Counseling Center by checking identification and
performing general clerical work.
• Other duties as assigned.
Schedule: 8:00 AM– 5:00 PM Monday – Thursday with an hour lunch and 8:00 AM-12:00 PM on Fridays (36 hour per week.)
Compensation: $22.97 - $24.04/hour

These residential services are offered free-of-charge. The Mercy Multiplied Center for Wellness and Counseling is Mercy’s free-of-charge Outpatient counseling Program for men and women aged 13 and older. Our Outreach Services train and resource men and women to effectively support and minister to those who are hurting and struggling through workshops, videos, podcasts, discipleship teaching, and other practical resources.
