Working closely with Ward Staffing Specialist in processing all volunteer applications in the Ward sector.
Essential Duties And Responsibilities (Include But Not Limited To)
To perform this job successfully, an individual must be able to perform each essential duty satisfactorily.
APPLICATION
- Contact candidates to inform them of employment possibilities, consideration, and selection.
- Responsible for denying or withdrawing applications that are deemed unqualified for Mercy Ships service, or applicants that are non-responsive.
- Keep staffing plans and other staffing tools/programs up to date with accurate, relevant information.
- Meticulously track applications assigned, document progress, and provide requested workload and progress metrics.
- Assist in finding alternate, suitable positions for applicants when deemed appropriate.
- Provide a high-touch, positive candidate experience that ensures candidates are well-informed of their progress.
- Answer applicants’ questions regarding their application and service with Mercy Ships
- Coordinate application reviews for ship-bound applicants and ensure they are being completed by defined response/timing benchmarks.
- Coordinate departmental interviews.
- Schedule volunteers for On Boarding courses
- Submit training requests as needed.
- Send final offer or denial letter.
- Send immigration documents to applicants
- Ensure incoming crew have completed all pre-embarkation requirements.
- Ensure applicants do not become stagnant in the process (everyone receives timely communication and applications are steadily moving forward)
- Ensure data entry in information systems is accurate and timely
COLLABORATION
Attend weekly meetings with the Staffing Specialist, respective department heads/Resource Managers, and a ship-HR representative.
- Work closely with the Staffing Specialist to understand issues, problem-solve, and forecast needs.
OTHER
- Maintain current knowledge of Mercy Ships policies and procedures regarding minimum commitments and requirements.
- Stay aware of the most current fleet news and essential information regarding field services by utilizing published resource pages in Navigator.
- Attend team devotions on established cadence.
- Follow up on all email and phone inquiries.
- Other duties as assigned.

Education And Experience
The requirements listed below are representative of the education and/or experience required.
- High School Diploma required.
- Mercy Ships experience is preferred but not required.
- 1-2 years of experience in a customer-focused administrative role preferred.
- Experience in Human Resources is a plus.
- Experience with Applicant Tracking Systems (ATS) preferred.
- Successful completion of Mercy Ships Entry Training will be required within the first year.
