- Project Assistant-Estimator Responsibilities :
- Follow-Up Protocol :
In this role you are expected to follow up on all aspects of waterproofing projects, ensuring smooth communication and project alignment across teams and with clients.
Plan and outline the project scope, resources, and schedule. Oversee project execution by ensuring tasks are allocated appropriately and completed within the given timeframe.
Identify and manage potential project risks early on. Develop contingency plans and escalate issues as needed to avoid project disruptions.
Ensure that all work is performed to Merit Professional Coatings’ quality standards. Regularly check for quality assurance throughout project phases.
Lead and motivate your team. Foster collaboration, problem-solving, and a positive work culture to ensure timely and efficient project delivery.
Monitor the project’s financials, ensuring adherence to the set budget and timeline. Adjust plans as necessary to mitigate delays or overruns.
Manage project changes efficiently. Communicate adjustments to all stakeholders and ensure alignment with the revised project scope and goals.
Ensure that all deliverables meet or exceed client expectations and contribute to the company's strategic objectives.
2. Meetings & Stakeholder Engagement :
Conduct project handoff meetings with the estimating and field teams to review scope-specific details. Lead scope-specific kickoff meetings with the field teams, ensuring alignment on project tasks, materials, and timelines.
Attend all scope review meetings to thoroughly understand client needs and project requirements. Work closely with the estimating team to refine scopes as necessary.
Regularly meet with foremen to review project progress, challenges, and manpower allocation. Ensure that on-the-ground teams are well-coordinated with project goals.
Lead weekly or bi-weekly project management meetings to review the progress of all active projects. Ensure any project issues are identified and resolved in a timely manner.
Collaborate with the finance team to review project budgets, cash flow, and billing schedules. Track all financial KPIs, ensuring profitability and fiscal responsibility.
Attend KPI meetings to report on project performance metrics, including budget adherence, timelines, and quality. Focus on continuous improvement by learning from key performance indicators.
Participate in board meetings when required to present project updates, financial performance, and strategic direction related to ongoing or completed projects.
Represent Merit Professional Coatings at ABC (Associated Builders and Contractors) events, expanding professional networks and maintaining industry relationships.
3. Contract & Vendor Management :
Lead the negotiation of contracts with clients, subcontractors, and vendors. Ensure all agreements are favorable, clear, and aligned with project goals and financial objectives.
Build and maintain strong relationships with vendors and subcontractors. Ensure they understand and align with Merit’s quality standards, timelines, and financial agreements.
You are responsible for ensuring project profitability by managing budgets and maintaining margins. Negotiate effectively and keep track of cost escalations to protect profitability.
4. Financial Oversight :
Oversee the preparation and maintenance of SOVs for both customers and subcontractors. Ensure all billing aligns with the project progress and contractual terms.
Continuously monitor project margins, comparing estimated vs. actual costs. Adjust financial strategies as necessary to ensure projects remain profitable.
5. Site Visits & Safety :
Conduct regular site visits to ensure projects are progressing according to plan. Pay attention to quality control, safety standards, and field team performance.
Ensure that safety protocols are properly communicated and enforced across all teams. Conduct or delegate safety orientations for on-site personnel.
6. Customer & Business Development :
In addition to managing existing projects, actively seek new business opportunities. Build relationships with prospective clients, focusing on expanding Merit’s project portfolio.
Maintain strong relationships with existing clients, ensuring repeat business. Regularly check in with customers and address any concerns proactively.
As a Project Manager, you are accountable for contributing to business development. Work with the business development team to secure new projects and clients.
7. Reporting & Accountability :
Provide detailed reports on project status, budget adherence, risks, and progress. Keep all stakeholders informed and escalate issues as necessary.
Regularly track and report key performance indicators related to your projects, including financial health, timelines, and quality.
