Position Overview
The Practice Manager will be responsible for the efficient operation of the practice, leading administrative and clinical support teams, managing revenue cycle processes, and driving initiatives that improve patient experience, staff experience and financial performance of the practice. We believe improved staff experience, will result in improved patient experience, which in turn result in improved financial performance of a clinic. This role requires a proactive leader who can balance operational oversight with strategic growth opportunities.
Additionally, the Practice Manager will have the unique opportunity to work closely with Meroka, a management services organization (MSO) that specializes in providing back-office support for independent medical practices. Through this partnership, the Practice Manager will gain access to advanced analytics, revenue cycle expertise, and top class operational support to help optimize the practice’s success.
Key Responsibilities
Practice Operations & Team Leadership
- Oversee the day-to-day operations of the practice, ensuring efficiency and compliance with all regulatory guidelines.
- Supervise and support front office and clinical staff, fostering a culture of accountability, teamwork, and continuous improvement.
- Implement and refine operational workflows to enhance patient and provider experience.
- Ensure optimal use of the practice’s Athena Electronic Medical Records (EMR) and Practice Management (PM) systems.
- Coordinate physician and APP schedules to maximize appointment availability and operational efficiency.
Financial & Revenue Cycle Management
- Work closely with Meroka’s revenue cycle team to improve billing, collections, and reimbursement processes.
- Monitor key performance indicators (KPIs), including patient volume, revenue cycle metrics, and operational efficiency.
- Identify and address revenue leakage by ensuring all billable services are properly documented and coded.
- Oversee patient billing inquiries and payment collection processes.
Compliance & Patient Experience
- Ensure compliance with HIPAA, OSHA, and other healthcare regulations.
- Implement patient experience initiatives, including streamlined scheduling, reduced wait times, and high-quality customer service.
- Handle patient feedback and implement process improvements to enhance overall satisfaction.
Collaboration with Meroka for Growth & Optimization
- Work alongside Meroka’s team to implement best practices in financial reporting and workflow efficiency.
- Gain exposure to strategic growth initiatives, including contract negotiations, service expansion opportunities, and practice performance analytics.
- Collaborate with Meroka’s data analytics team to track and optimize financial and operational performance.
- Participate in leadership development programs and gain mentorship from experienced healthcare operations professionals.
Qualifications & Skills
- 3 years of experience in medical practice management, preferably in women’s health or a specialty care setting.
- Strong knowledge of medical billing, revenue cycle management, and EMR/PM systems (experience with Athena is a plus)
- Excellent leadership skills with experience managing administrative and clinical teams.
- Ability to analyze financial and operational data to drive performance improvements.
- Strong understanding of healthcare regulations and compliance standards.
- Exceptional communication and problem-solving skills.
