FUNCTIONAL SUMMARY: The HR Coordinator facilitates the preparation and administration of leave of absences for employees, including handling inquiries, completing and processing leave of absence forms. They will be responsible for facilitating the preparation and administration of benefits and assisting with internal audits of benefits plans and payroll deductions. Assists with all HR administrative duties including maintaining accurate employee files and orienting new employees.
RESPONSIBILITIES:
- Leave Administration
- Advises managers and employees on the interaction of FMLA, Massachusetts PFML, paid time off, workers’ compensation, and short-term and long-term disability programs.
- Communicates with employees contemplating leave ensuring that employees are aware of their responsibilities and of any documentation and notice required to qualify for and to take leave.
- Communicates with employees and all necessary parties to facilitate smooth and timely return to work.
- Maintains complete, accurate and up to date records of all leaves of absence.
- Works closely with PFML insurance company, supplying required documentation and responding to information requests on a timely basis.
- Escalate complex cases to HR Employee Experience Manager and HR Manager as needed and ensures timely resolution.
- Participates with the HR Employee Experience Manager and HR Manager in the interactive process of accommodating employees during the return-to-work process.
- Maintains compliance with leave of absence and employment laws including the Americans with Disabilities Act (ADA).
- New Hire Orientation and Benefit Administration
- Assists with coordinating and conducting employee orientation/onboarding in partnership with Recruiter/HR Coordinator.
- Conducts benefit enrollments, and other employee sessions to ensure that employees are enrolled in benefit programs on a timely basis.
- Monitors waiting periods for benefit eligibility, initiates employee notification and distributes benefit material.
- Assists with the preparation, scheduling, and presentation of a variety of benefit program workshops and seminars.
- HR Administration
- Maintains accurate employee data records for the HR benefit systems such as updating address changes and ensuring correct enrollments. Audits data integrity to ensure benefits data is accurate in collaboration with the HR Employee Experience Manager.
- Assists with all HR administration such as 90-day review, benefit tracking, employee policy acknowledgments, anniversary recognition, organizational chart, and phone directory.
- Serves as the first point of contact for employee benefit and LOA inquiries ensuring a positive employee experience.
- Administers the NMLS Safe Act Program for the Credit Union in partnership with the HR Employee Experience Manager.
- Maintains all new and existing employee files as well as separated employee files. Uploads weekly payroll files and employee documents into the employee’s electronic employee file.
- Tracks all new hire evaluations and exit interviews to share with the Organizational Development team and HR.
- Provides administrative support as required for all members of the HR team.
- Assists with coordinating and gathering documentation for audits as needed.
- Ensures that internal HR forms and documents are current and available.
- Assists with responding to general employee and management inquiries.
- Provides Accounting department with billing information regarding flexible spending, HRA, and dependent care accounts.
- Performs all other duties as assigned.
QUALIFICATIONS:
- Highschool diploma or equivalent required.
- Minimum of two years’ experience in HR.
- Strong interpersonal, written/verbal communication, organizational skills needed.
- Demonstrated ability to deal effectively with staff is essential.
- Experience with Windows, Outlook, Excel, and Word.
- Must be able to handle multiple tasks effectively and accurately. Attention to detail is critical.
- Ability to prioritize and manage multiple projects simultaneously.
- Excellent time management skills with the proven ability to meet deadlines.
- Must have excellent problem-solving skills and possess a professional and positive attitude.
- Ability to handle sensitive information respectfully and compassionately and maintain confidentiality.
