As an employee in the Election Division, duties focus on a variety of work related to elections office goals, including voter registration applications, additions, changes, cancellations, and party affiliation in voter registrations. Workload, focused within the election office during an election cycle, including working with other staff to complete voter registration data entry, processing voters, and assisting the voting process of the ACP program and military/overseas voters, operation and maintenance of the election equipment, maintenance of the Address Library, voter cancelations using SCORE, and bulk print mailings. Other duties may include coordinating and organization of supplies for office and polling location in preparation for an election. Assist with election judge recruitment, assisting with scheduling and judge training. Performs daily data entry of voter registration forms, as needed.
Overall, working as a team, individuals will gravitate towards and excel at certain tasks but every team member should have a solid understanding of all the tasks, which ensures redundancy and collaboration.
Office support:
Daily opens, organizes, and distributes the mail to the correct recipient.
Maintains and replenishes information booklets, voter registration forms, and the election historical binders on the voter information table in the office, Monitors paper shred and paper recycle bins. Notifies vendor to empty when needed.
Voter registration support:
Organizes, batches, scans voter registration, PMIV, and other data entry documents. Collects Driver’s License bureaus forms. Plans and monitors the volume of data entry and ensures completion by needed deadlines, Monitors quality and accuracy of data entry.
Processes data received from Secretary of State and other entities as well as creates projects to ensure voter registration integrity and cleanup, including bad/missing signatures, incorrect character & spaces, incorrect information, updates to system functions, updates to form templates. Monitors progress of data entry batches.
Processes Online Voter Registrations daily and/or monitors temporary workers and election judges’ progress and accuracy.
Handles all voter registrations / ballot applications incorrectly or incompletely submitted by voters. Contacts voters through mail or phone correspondence in order to correct their applications.
Elections:
Assists with the mobile registration program and mail-in voting at assisted living/nursing homes throughout the county.
Corresponds with voters whose ballots have been rejected for no signature, no ID, or signature verification.
Prints labels and assemble mail ballot packets driven by updating address / new registrations that occur during the election cycle after the main run of mail ballots have been mailed.
Oral and written communication must be clear and effective. Bilingual in Spanish is a PLUS.
Performs other related duties as assigned.
Executes effective and timely communications with co-workers and supervisors to ensure a team environment is maintained at all times. Actively demonstrates the desire to collaborate with supervisors and peers to maintain a productive team, provides assistance and support to other staff as needed.
Provides courteous prompt service to the public, elected officials, candidates in person, by telephone, or by electronic means. Processes voters.
Prepares databases, spreadsheets, and summaries using Microsoft Office Suite, Google Suite, and other business specific applications and systems. Work in any Clerk and Recorder department when necessary.
Minimum qualifications required:
Education and Experience:
High school diploma or equivalent and one (1) year of clerical related experience, which involved typing, filing and interacting with the public to disseminate information.
Any combination of education, training and experience, which provides the knowledge, skills and abilities, required for the job.
Licenses and Certifications:
Deputy Clerk Certification (obtained after hire)
Active Colorado Driver’s License
Colorado State Election Certification (must be obtained within 2 years of hire)
Supplemental Information:
Occasional travel may be necessary for work-related training and conferences.
Must be available to work some evenings and weekends, close to Election as per the need.
Physical Requirements and Working Environment:
This position requires standing, stooping, sitting, bending, twisting, and lifting up to 50 pounds.
Work is generally confined to a standard office environment. However, employee may occasionally be exposed to dirt, smoke, fumes, extreme heat and cold, outside atmospheric conditions, and dust.
