Job Summary: As an Office Manager, you'll provide essential administrative, clerical support, and oversight ensuring efficient office operations, customer communication, and smooth coordination of branch activities. In addition, the Office Manager will be responsible for the organization and coordination of office operations, procedures, and resources to facilitate efficiency throughout the office.
Responsibilities:
- Senior leader of all major local accounting functions
- Manager over billing and timeliness over authority and business
- Handle inquiries from internal departments and customers
- Facilitate clear communication between internal departments, clients, movers, and storage staff
- Maintain accurate records of customer information, inventory, and other relevant data
- Create invoices and process payments for the branch
- Manage and maintain calendars, including scheduling appointments, internal/external meetings, and conference calls
- Draft and edit correspondence, communications, and documents
- Complete monthly expense reconciliation
- Serve as a liaison between internal staff at all levels
- Provide assistance and support on various projects such as new employee onboarding, calendar planning, and staff communication
- Complete weekly reports related to warehouse capacity, quality dashboard, and sales performance
- Support facility General Manager as needed
- Support other staff on other projects and duties as needed
- Oversee all daily office functions
- Serve as first point of contact for the branch
- Responsible for all vendor management which includes ordering equipment and supplies, managing and monitoring service levels, invoice reconciliation and addressing unsatisfactory vendor services
- Manage the offices IT environment and serve as the primary liaison with Mesa IT Team
- Manage paperwork, organize files, schedule appointments, and prepare documents
- Sort and distribute mail, maintain office supplies, and operate office equipment
- Other duties as assigned
Qualifications:
- Bachelors Degree or equivalent job-related experience
- Logistics/transportation/general contracting/warehouse and or project management experience preferred
- Working knowledge of field operations project management and the skills needed to plan ahead
- Accounts receivable/payable experience
- 5-10 years of office administration experience
- Ability to take initiative while prioritizing and managing multiple tasks simultaneously and meet deadlines
- Computer literacy and proficiency in Microsoft Office Suite
- Excellent verbal and written communication skills
- Ability to identify and resolve issues effectively
- Strong organizational skills and attention to detail
- Ability to provide friendly and efficient customer service
- Previous experience in a customer-facing role or office setting preferred, but not required
