Overview
The Maintenance Coordinator is a vital role responsible for overseeing and managing maintenance operations across vacation rentals and long-term resident rentals. This position requires a proactive individual who can ensure that all maintenance tasks are executed efficiently and effectively, maintaining high standards of safety and performance. The ideal candidate will possess strong leadership skills and a solid understanding of various maintenance systems, including HVAC and high-voltage equipment, while also providing exceptional customer service to owners, tenants, and vendors.
Duties
- Take inbound maintenance calls from owners and guests, addressing issues promptly.
- Inspect all reported issues, perform minor repairs, and create work orders for major repairs requiring vendor assistance.
- Coordinate and manage major repairs by scheduling vendors and communicating schedules with owners, tenants, and guests.
- Communicate with owners regarding jobs exceeding approved spending limits.
- Develop and implement preventive maintenance schedules for machinery and facilities.
- Create and maintain work orders in the system and ensure accurate documentation of maintenance activities, including repairs, inspections, and service history.
- Maintain part supplies and purchase/deliver home supplies for owners as needed.
- Work directly with vendors to monitor their workflow, ensuring jobs are completed correctly and on time.
- Submit invoices for completed work to accounts payable for payment processing.
- Maintain all short-term rental keys and garage door openers, ensuring proper access and security.
- Take turns with other employees managing the after-hours phone for urgent issues.
- Act as a home warranty liaison to address and resolve delayed response issues.
- Manage projects related to facility upgrades or repairs, ensuring timely completion within budget constraints.
- Perform all other duties and tasks as assigned by managers and/or brokers.
Skills
- Strong leadership abilities
- Proficient in project management principles to oversee various maintenance initiatives.
- Knowledge of HVAC systems and high-voltage equipment maintenance
- Exceptional communication skills in English, both written and verbal, to effectively interact with owners, tenants, vendors, and internal teams.
- Strong organizational skills with the ability to prioritize tasks efficiently.
- Comfortable working on computers to input work orders and document projects
- Experience in maintenance management practices to enhance operational efficiency.
- Customer service skills to effectively liaise with owners, guests, and vendors.
Job Type: Full-time
Pay: From $18.00 per hour
Expected hours: 35 – 40 per week
