We are seeking a Paralegal / Trust Services Coordinator in the Financial Planning Group of a wealth management firm. The Trust Services Coordinator provides the family office and family trust company services to high net-worth clients by supporting various client trust administration duties.
This position is based out of Cleveland and offers work-from-home flexibility of up to 2 days per week after the initial orientation period.
Job Responsibilities :
- Support client trust administration and ongoing compliance in family trust companies.
- Assist in the preparation of trust administration documents, including, but not limited to, trust acceptance documents, annual account reviews, and beneficiary profiles.
- Participate in customizing policy and procedure manuals based on the provided template.
- Create summaries and flowcharts of trust documents for review.
- Complete electronic filing of client documents ensuring consistent file structure.
- Assist in client board meetings through the preparation and dissemination of electronic board books.
- Manage customized private client portals ensuring appropriate access and document uploads /
- Assist with department expense reports.
- Handle all electronic signatures of documents (e.g., trust administration worksheets, Oath of Directors, Annual Reviews, etc.) & file appropriately.
- Responsible for filing electronic documents & maintaining the integrity of all client files.
- Download monthly bank statements for clients.
- Organize & maintain client Summitas portals.
- Coordinate securing data from new clients to facilitate the preparation of trust administration documents.
- Enter data in WealthHub based on information received from clients and complete data audits.
- Update Policy & Procedure Manuals for customization and amendments.
