Job Description

The Service Administrator performs a variety of routine and reoccurring clerical duties including typing, filing, scanning and preparation of standard forms as well as various other tasks to ensure customer satisfaction and smooth administrative processes. This role requires excellent organizational skills, attention to detail, and the ability to multitask in a dynamic environment. The Service Administrator serves as a key liaison between customers, service teams, and management.

Core Hours: Monday-Friday 8:00 am-4:30 pm onsite; can be flexible with the hours.

Wage range: $18.00-25.00 hourly, depending on experience/education.

Requirement of working onsite for this position.

Essential Duties

1. Assist in maintaining/updating Service Calendar (as directed)

2. Create customer accounts when needed for Service Calls and/or Parts Orders.

3. Retrieve Parts/Service Invoices for customers.

4. Assist Service team with booking/coordinating travel as needed.

5. Process customer requests in a timely manner via phone and email.

6. Create/Maintain the Customer Library.

7. Review and turn in weekly expense reports.

8. Create Service Calls in MRP system and add time and expenses.

9. Prepare reports, letters and routine correspondence, and research information.

10. Source parts for Parts/Service department.

11. Process Credit Card transactions for Parts Orders and Service Calls

12. *Assist with management and organization of Service Contract program

13. Promote and maintain a positive work environment that shows concern and respect for all employees, vendors, and customers by providing excellent customer service to internal and external customers.

14. Other duties as assigned

Education and Experience

  • A High School Diploma or GED required,
  • Two years recent experience in support of administration and/or parts repair/service support processes.
  • Must be able to manage time, cost and effort to ensure efficiency.
  • Must have excellent verbal and communications skills.
  • Must have a strong ability to multi-task.
  • Must be detail oriented.
  • Must provide excellent customer service.
  • Must be able to work independently on assigned tasks as well as to accept direction on given assignments.
  • Competent with MS Office; Outlook, Word, Excel, PowerPoint. Familiarity with ERP and CRM a plus.

Physical Demands

The individual will regularly be required to stand. The individual will frequently be required to walk; use hands to finger, handle, or feel; reach with hands and arms and talk or hear. The individual will occasionally be required to sit; climb or balance and stoop, kneel, crouch, or crawl. The individual must occasionally lift and/or move up to 25 pounds. Specific vision abilities required by this role include close vision, distance vision, peripheral vision, and the ability to adjust focus.

Work Environment

The work environment characteristics described here are representative of those individuals encounter while performing the essential functions of this job. While performing the duties of this role, the employee is periodically exposed to moving mechanical parts. The noise level in the work environment is usually moderate.

This position requires the ability to pass a competency test, pre-employment drug test, and background check.
