Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in ensuring the smooth operation of our office and supporting various administrative functions. The ideal candidate will possess strong organizational skills, proficiency in Google Suite, and experience with clerical tasks. A background in customer service and medical reception is a plus, as this position may involve interacting with clients and patients.

Duties

  • Manage daily office operations, including filing, data entry, and maintaining organized records.
  • Utilize Google Suite for document creation, spreadsheets, and presentations to support team projects.
  • Handle incoming phone calls with professionalism, demonstrating excellent phone etiquette while addressing inquiries and directing calls as necessary.
  • Assist in managing schedules, appointments, and meetings for staff members.
  • Perform proofreading of documents to ensure accuracy and clarity before distribution.
  • Provide exceptional customer service by responding to client needs and inquiries promptly.
  • Support bookkeeping tasks using QuickBooks, including invoicing and expense tracking.
  • Maintain office supplies inventory and order materials as needed to ensure operational efficiency.

Experience

  • Proven experience as an Administrative Assistant or in a similar clerical role is preferred.
  • Familiarity with medical receptionist duties is advantageous but not required.
  • Proficient in using Google Suite applications (Docs, Sheets, Drive) for various administrative tasks.
  • Strong organizational skills with the ability to manage multiple tasks simultaneously while maintaining attention to detail.
  • Excellent communication skills, both verbal and written, with a focus on customer service excellence.
  • Experience with phone systems and handling high-volume calls effectively.
