Job Summary and Qualifications
Coordinates AP processing between facility and shared service center. Prepares reconciliations, provides clerical support, compiles and processes financial information for Methodist under the direct supervision of the Accounting Manager.
1. Coordinates accounts payable processing and serves as liaison between Dallas Service Center, Hospital and Central Accounting. (High Volume, Low Risk)
a) Process multi facility check requests.
b) Review invoices to determine authorization needed and send to the appropriate department.
c) Review authorized and coded invoices received from the departments / outside vendors to determine if authorization is in accordance with the authorization policy and the general ledger coding is in accordance with the chart of accounts.
d) Coordinate bi weekly packages to facility cashier and SSC.
e) Review the electronic Centralized mailbox daily for non -PO invoices that were received that need approval and coding. Review the invoice and route the to the appropriate Department Director based on the review.
f) Prepare and log manual AP checks as needed.
g) Research vendor statements to ensure all invoices are paid.
2. Compiles and processes assigned accounting transactions during month end close process.
a) Prepares all assigned journal entries within department deadlines.
b) Ensure that each journal entry prepared is properly supported.
c) Ensure each entry is entered into GL system within department deadlines.
d) Review Standard Journal Entry Checklist to ensure completion and all entries are posted.
Prepare listing for signature on the 9th each month in accordance with SOX control 19. (High Risk, Low Volume).
e) Files all journal entries after month end close. Review each journal entry to ensure appropriate level of approval was obtained and that signature and date are indicated as required in SOX control 20. (High Risk, High Volume.)
3. Maintains assigned subsidiary records to support general ledger control account balances and prepares reconciliations of all balance sheet accounts assigned on a monthly basis.
a) Details supporting schedules are updated and reconciled monthly.
b) Reconciles asset and liability accounts to ensure accurate balances. (High Risk, Low Volume)
c) Reconciling items are cleared timely, 30 days or less. (High Risk, Low Volume)
4. Prepares assigned schedules or reports as requested by manager or director. (low volume, high risk)
a) Prepares audit schedules as needed.
b) Prepares tax schedules as needed.
c) Prepares special project reports as needed.
5. Office Coordinator Duties.
a) Coordinates all records retrievals from offsite storage for the department. Coordinates boxing of current records for department.
b) Responsible for maintaining an accurate listing of all boxes located in offsite storage.
c) Ensures the department is in compliance with HCA Records Retention policy.
d) Responsible for handling all incoming and outgoing mail.
Minimum Education, Experience, Training, Required Knowledge, Skill, Abilities and Other Job-Related Characteristics :
1. Education : High School Graduate / Equivalent
2. Experience : 1-3 years
3. Employee completes initial and ongoing training and competencies as defined by service
line, facility and department / unit which are specific to the needs of the patient population served (if applicable).
4. Preferred : 2 years in healthcare accounting experience and accounts payable experience
