Metrics LLC is seeking a skilled and experienced Senior Executive Assistant as we compete for a contract to provide administrative support services to the Office of the Chief Information Officer (OCIO) at the National Institutes of Health (NIH). This role is critical to the success of the NIH’s mission to advance biomedical research through optimized technology and information systems. As part of a broader administrative support services contract, the Senior Executive Assistant will coordinate high-level calendars, facilitate internal communications, and support key leadership including the Chief Information Officer (CIO), Deputy CIO, Chief Information Security Officer (CISO), and Deputy CISO. The successful candidate will be instrumental in ensuring smooth executive operations, efficient communication, and effective time management for NIH leadership.
Minimum requirements include a bachelor’s degree and at least 5 years of experience supporting C-level executives in an administrative or executive assistant role. Proficiency in Microsoft Office (Teams, Outlook, Word, Excel, PowerPoint) and communications platforms such as Zoom is essential.
This is hybrid position with work required on-site at the NIH site in Bethesda, MD

Responsibilities:
- Coordinate daily calendars and manage scheduling for OCIO executive leadership, including CIO, Deputy CIO, CISO, and Deputy CISO.
- Plan, organize, and facilitate executive appointments, meetings, and events, ensuring all logistics and materials are prepared in advance.
- Act as the primary point of contact between executive leadership and internal/external stakeholders.
- Track and manage action items and data calls requiring executive signatures or input.
- Create and maintain regular reports, trackers, and internal databases to support leadership decision-making.
- Make travel arrangements in compliance with NIH and HHS travel policies, including the preparation and submission of required documentation.
- Screen and manage incoming calls, emails, and messages; provide timely and professional responses or route as appropriate.
- Facilitate internal communication efforts, including the distribution of information and scheduling of presentations.
- Staff OCIO Leadership Team meetings, including capturing and tracking meeting action items.
- Identify and implement process improvements to increase the efficiency and effectiveness of executive support operations.
- Bachelor’s degree from an accredited institution.
- A minimum of 5 years of experience supporting C-level executives in an administrative capacity.
- Advanced proficiency in Microsoft Office Suite (Teams, Outlook, Word, Excel, and PowerPoint) and communications platforms like Zoom.
- Familiarity with online calendar management, cloud-based systems, and enterprise resource planning (ERP) tools.
- Strong verbal and written communication skills with the ability to engage professionally with senior leadership and stakeholders.
- Excellent organizational skills and the ability to manage multiple priorities in a fast-paced environment.
- Experience working in a federal government or healthcare research environment, particularly within NIH or HHS.
- Demonstrated ability to manage sensitive and confidential information with discretion.
- Familiarity with NIH systems such as the NIH Enterprise Directory (NED) and ServiceNow.
- Experience supporting executive-level logistics including travel, training coordination, and meeting facilitation.
