Essential Job Functions:
Accounts Receivable
- Process invoices and incoming payments in compliance with financial policies and procedures.
- Performs day-to-day transactions, including verifying, classifying, computing, posting and recording accounts receivables’ data.
- Prepare invoices and deposits.
- Reconcile the accounts receivable ledger to ensure that all payments are accounted for and properly posted.
- Verify discrepancies and resolve client billing issues.
- Facilitate timely payment of invoices due by sending bill reminders and contacting clients.
- Generate statements and reports detailing accounts receivable status.
- Review all vendor invoices for appropriate documentation and approval prior to payment.
- Sorts, distributes, and processes incoming vendor invoices and correspondence.
- Process and 3 - way match purchase orders to invoice line items.
- Prioritize invoices according to cash discounts potential and payment terms.
- Audit and process credit card bills.
- Match invoices to checks, obtain signatures for checks and distribute accordingly.
- 1099 reporting.
- Respond to all vendor inquires.
- Reconcile vendor statements, research and correct discrepancies.
- Assist with month end closing.
- Receives and invoices equipment for the sales department.
- Provides reports for employee commissions.
- Completes title and registration paperwork for equipment.
- Provides administrative support to the General Manager as required.
- Sales, Use and FET tax reporting.
- Answering phones and assisting customers as required.
- Other duties or projects as assigned by Management.
- High School Diploma or GED equivalent required, college level accounting classes or Accounting Degree preferred.
- 4-6 years hands-on accounting experience and/or proven understanding of basic accounting principles.
- Basic computer skills and word processing.
- Good mathematical background.
- Some experience with spreadsheets and automated accounting systems.
- Ability to sort, check, count, and verify numbers.
- Ability to multi-task, prioritize and work efficiently.
- Ability to listen, communicate (written and verbal), excellent grammar, spelling and proofreading skills and follow-up effectively with all staffing levels and clients/customers.
- Ability to collaborate with co-workers to build/improve processes and protocol.
- Ability to work independently, self-starter, energetic
- Ability to demonstrate good common sense and sound judgment
- Flexibility to adapt to all situations and work varied hours if/when necessary
- Ability to use 10-key calculator for a variety of accounting functions
- Ability to perform at high levels in a fast-paced ever-changing work environment
- Ability to anticipate work needs and follow through with minimum direction
