We are seeking to add a Business Intake Analyst to our Administrative team. Preferred candidates will have experience working either in an administrative role in a claims department in the insurance industry, or in a similar role handling conflicts checks and opening new files/clients at a law firm. Aderant experience also a plus.
Primary responsibilities include running conflicts checks, opening new clients and files in Aderant, reopening files, and maintaining / updating client and matter data in Aderant, and helping to maintain accurate and timely information in Aderant.
This position is eligible for a remote or hybrid work arrangement, but would prefer candidates be based in SC or NC.
What We're Looking For:
- Possess excellent listening skills, verbal and written communication skills
- Possess excellent organizational skills, and pay close attention to detail
- Must be able to read and write in English and use arithmetic skills accurately to complete required daily projects
- Proficiency in Microsoft Office applications with an emphasis in Excel
- Must possess ability to take initiative and handle various tasks simultaneously while working efficiently, effectively, and independently under minimal supervision
Essential Responsibilities:
- Evaluate information secured during the intake process to ensure accuracy and adequacy prior to opening a matter in Aderant
- Professional and prompt follow up with attorneys and administrative staff for additional information or for clarity of information as needed
- Ensure the consistent entry of accurate information, including the application of accurate rate sets, in Aderant during the intake process consistent with firm protocols
- Conduct timely and accurate conflict searches in accordance with firm policies and procedures
- Conduct timely and accurate opening of matters upon submission of appropriate information to the Business Intake Group
- Address requests that come to the New File Requests and Aderant File Maintenance Outlook groups
- Contribute to the maintenance and updating of information in Aderant as needed
- Assist in the intake process during the onboarding of new attorneys to the firm or the transfer of new business to the firm unrelated to onboarding
- Appreciate and understand the impact that the work of the Business Intake Department has on other departments and the firm overall
- Receive cross training and assist other departments as needed
- Assist with special projects and assignments as needed
- Completion of reports on a daily, weekly, monthly or as needed basis
- Responds politely to internal staff, clients, vendors, etc.
- Works as a member of a team
- Accepts change in a productive manner
- Performs other duties as necessary or assigned

Qualifications:
