The Visitor Relations Coordinator is responsible for managing the day-to-day operations in the Visitor Services areas within the Museum of Art and Design, Freedom Tower and Kislak galleries, ensuring an exceptional and enriching experience for all guests. The position oversees ticketing operations through the point-of-sale system, admissions, group sales, museum shop, and visitor data collection, including surveys.
Duties & Responsibilities
- Recruits, trains, schedules and mentor’s visitor services and gallery attendant staff
- Oversees the daily operations of the admissions desks with a focus on excellent customer service including response to visitor complaints and other feedback
- Creates weekly and daily staffing schedules for visitor services staff to ensure smooth daily operations across all staffing posts
- Manages an active training and communication system for visitor services staff to stay informed and updated on current and upcoming exhibitions, programs, and other museum activities
- Assists in developing, implementing and maintaining procedures for the admission ticketing system. Collaborates with Finance and IT to support terminal setup, ensure system reliability, and maintain the security of data and transactions
- Works with Marketing and Membership to plan and implement special ticketing and promotions aimed at increasing attendance (includes donation requests, complimentary tickets, discount ticket options, etc.)
- Assists the Public Safety Department to develop and implement a museum security training manual for museum and security staff for MOAD, Freedom Tower and Kislak galleries
- Works with Education and other departments that organize special events and programs (member events, films, performances, etc.) to assure a timely and appropriate reception for groups and individuals with reservations. Includes selling memberships and promoting the benefits of all membership levels
- Updates information through all communication systems as necessary (website, way finding, floor maps, etc.)
- Reports and complies with MOAD and Freedom Tower security and safety protocols, building maintenance request and incident reports
- Performs other duties as assigned
Minimum Requirements
- Master’s degree in Museum Studies, Art History or related field and one (1) years of supervisory experience; or Bachelor’s degree in Museum Studies, Art History, or related field and five (5) years supervisory experience
- All degrees must be from a regionally accredited institution
- Knowledge and understanding of College organization, goals and objectives, and policies and procedures
- Knowledge of museum operations
- Ability to communicate effectively orally and in writing; prepare and deliver presentations and written materials appropriate for diverse program platforms, including public presentations and training programs
- Demonstrate experience in working with CRM databases and box office ticketing systems
- Ability to establish and maintain positive and professional working relationships with staff, volunteers and members of the public
- Possess leadership, team-building and motivational skills
- Demonstrated knowledge of visitor services principles, practices and procedures, knowledge of supervision and training
- Experience evaluating and analyzing data, prepare and deliver reports to improve the visitor experience
- Ability to use sound judgment, exercise composure and diplomacy when dealing with the public; demonstrate creative problem solving and conflict resolutions skills
- Demonstrate an understanding of protocol and sensitivity to cultural diversity needs
- Ability to work flexible schedule to include evening and weekend assignments as needed
- Ability to work in a multi-ethnic and multi-cultural environment with students, faculty and staff
