Position Overview
We are seeking a detail-oriented and organized Process and Court Filing Specialist to join our team. This role involves handling the preparation, filing, and service of legal documents across various court jurisdictions, ensuring compliance with state and federal court rules. The ideal candidate will have experience in process serving, eFiling, and in-person court filings, along with strong communication and problem-solving skills.
Key Responsibilities
Court Filing & Process Serving
- Prepare, review, and file legal documents with courts via electronic filing (eFiling) or in person.
- Ensure timely and accurate filing of pleadings, subpoenas, motions, and other court documents.
- Monitor and track court deadlines, case statuses, and filing confirmations.
- Coordinate with attorneys, paralegals, and clients regarding filing requirements and court procedures.
- Serve legal documents in compliance with state and federal regulations, documenting proof of service.
- Manage multiple process servers to ensure serving expectations and deadlines are met and clients are informed.
Compliance & Documentation
- Maintain a thorough understanding of court rules, deadlines, and filing procedures across multiple jurisdictions.
- Accurately log and track all filed and served documents in the company’s case management system and software.
- Ensure compliance with all legal service and process server regulations.
Client & Court Communications
- Communicate with court clerks, law firms, and clients to resolve filing issues or obtain necessary information.
- Respond to inquiries regarding filing statuses and service updates.
- Assist with resolving rejections, deficiencies, or other issues related to filings and service of process.
Administrative & Support Duties
- Assist in preparing legal documents for submission, including formatting, printing, and organizing exhibits.
- Maintain accurate records of all court filings and process service activities.
- Support other litigation support operations as needed.
Qualifications & Requirements
- Experience in legal process serving, court filing, or litigation support preferred.
- Familiarity with California court rules, eFiling systems, and filing procedures is highly desirable.
- Strong attention to detail and organizational skills.
- Ability to work efficiently under tight deadlines in a fast-paced environment.
- Excellent verbal and written communication skills.
- Proficiency in Microsoft Office (Word, Excel, Outlook) and case management software.
- Proficiency in Adobe and the handling and management of pdf files
- Ability to work both independently and as part of a team.
- Must be reliable, punctual, possess a strong work ethic, and can handle pressure.
Preferred Qualifications
- Experience with legal support services, law firms, or court-related work.
- Notary Public commission (a plus but not required).
- Knowledge of service of process regulations and best practices.
