As the Records Retrieval Coordinator, you will bolster legal production by completing requests and follow-ups, as well as processing and paying for medical records. Daily responsibilities include extensive phone conversations, email management, and maintenance of important and confidential legal case files. You will also be trusted with building and maintaining relationships with medical providers.
What you'll be doing:
- Responsible for records request tickets submitted for personal injury and defense cases.
- Send requests for medical records to providers by following an existing template.??Update ticket status throughout request process.
- Responsible for follow-up on outstanding records requests.
- Adds received records and rejection notices to case files in Litify.
- Alert Case Managers of received records and rejection notices.
- Responsible for paying invoices for requests received inside and outside of portals
- Check multiple locations for records including email, fax, and record portals
- Entering expenses and invoices into the case expense tab and saving copies of all receipts to Cost folder in Litify.
- Performing weekly credit card and expense tab reconciliations to ensure all department related expenses are accounted for in case files.
- Communicate effectively with external records departments through inbound/outbound phone calls, emails, faxes, and third-party vendor portals.??
- Maintain confidentiality and professionalism when dealing with sensitive client matters.?
- Effectively utilize Litify, the firm’s case management software.?
- Attends required morning and monthly meetings.?
- Performs other job duties and responsibilities as assigned.?
Who you are:
- High School Diplomas or GED required.
- Basic understanding of state and federal laws governing medical records.
- Proficiency with copier services, Chart Swap, billing statements, and Ciox preferred.
- Strong interpersonal, communication and writing skills.
- Ability to multi-task, and work both within a team and independently.
