Job Responsibilities:
Collaborate with ownership and management teams to achieve project objectives, from initiation to completion.
Increase executive efficiency by managing administrative responsibilities and marketing efforts in a fast paced hospitality environment.
Manage and track project priorities, ensuring operational excellence and timely execution.
Transcribe and format text, data, and graphics for internal communications and marketing materials (e.g., ShiftNote, staff newsletter).
Coordinate and maintain the executive’s calendar, including scheduling meetings and managing appointments.
Provide exceptional customer service, both in person and over the phone, resolving inquiries and directing calls as needed.
Handle sensitive and confidential information with professionalism and discretion.
Utilize the full Microsoft Office suite, equivalent Mac programs, and industry specific software to prepare reports and documents.
Assist in the planning and coordination of special events, including wine dinners and tastings, while handling reservations (both phone and online).
Maintain and update organizational documents, menus, and marketing materials on the shared drive.
Represent the company at community events, helping to host and engage with guests and industry partners.
Qualifications:
Minimum of five years of project management experience.
Administrative experience in a fast paced business environment.
At least three years of experience in the hospitality industry.
High school diploma or equivalent; additional education or certifications in hospitality or business administration are a plus.
Skills:
Strong organizational and project management skills, with the ability to prioritize tasks and meet deadlines.
Excellent communication and interpersonal skills.
Proficient in Microsoft Office, Mac equivalents, and marketing software.
Copywriting and basic graphic design skills are preferred.
Ability to manage multiple tasks and work closely with team members across departments.
Professional, adaptable, and able to handle confidential matters with sensitivity.
