Overview of the Position
MIBA is looking for a resourceful and detail-driven Operations Coordinator to help power our internal systems and external events. If you thrive in a fast-paced environment, love organizing moving parts, and take pride in being the go-to person for keeping things on track, this role is for you.
Working across both operations and business development, you'll support event execution, streamline day-to-day logistics, and contribute to meaningful programs that connect Israeli startups with Michigan’s innovation ecosystem.
Administrative & Operational Support
- Manage calendars, schedule meetings, and coordinate logistics
- Prepare agendas, take accurate notes, and organize follow-ups.
- Maintain databases and generate weekly activity reports.
- Facilitate document signing and manage office inventory/supplies.
- Conduct research to support operations and special projects.
Event Planning & Execution
- Set up and manage Eventbrite registrations and attendee tracking.
- Coordinate venues, catering, and printed materials.
- Assemble name badges and manage onsite event logistics.
- Support setup, check-in, and tear-down to ensure smooth execution.
- Maintain organized records of event details, attendance, and expenses.
Communications & Content Support
- Update website/blog content using templates and CMS tools.
- Prepare thank-you letters and donation acknowledgments.
- Track incoming donations and support data accuracy.
Skills & Strengths
- Meticulous attention to detail is a must.
- Exceptional written and verbal communication skills
- Excellent organizational and prioritization skills, with the ability to manage multiple tasks efficiently and meet deadlines.
- Proven problem-solving skills and a strong commitment to follow-through
- Technically adept or a fast learner, comfortable navigating platforms like Salesforce, WordPress, Eventbrite, Google Workspace, Zoom, and similar tools
- Professional, adaptable, and receptive to feedback
- Willingness to work occasional evenings/weekends and travel locally as needed
Experience
- 2 years of experience in event planning, operations, or administrative support
- Proven ability to juggle multiple responsibilities and support a collaborative team
