Position Overview:
We are seeking a Client Services Coordinator to serve as the first point of contact for clients and callers, supporting our team with administrative tasks, and delivering exceptional client service. The ideal candidate will be a friendly, organized, tech-savvy individual who thrives in a fast-paced office environment and has entry-level sales skills. Key Responsibilities:
- Client Interaction: Answer a multi-line phone system, direct calls, schedule appointments, and communicate with clients via phone, email, and correspondence.
- Client Intake & Administration: Perform client intakes, prepare welcome packets, manage client engagement agreements, and assist with other administrative duties as needed.
- Team Support: Prepare materials for seminars, conferences, and meetings; assist with daily tasks and proactively support the team.
- Calendar & Scheduling: Manage the firm's calendar, schedule appointments, and coordinate meeting times for the team.
- Mail Management: Sort, scan, record, and distribute incoming and outgoing mail in a timely manner.
- Greeting & Comfort: Warmly greet clients, seat them for meetings, and prepare refreshments.
- Office Maintenance: Maintain common areas, including the kitchen and client drink bar, to ensure a welcoming environment.
- Occasional Errands: Assist with running office errands as needed.
- Entry-Level Sales Skills: Demonstrate basic sales skills by effectively explaining the firm’s services to potential clients and assisting with client inquiries, helping to drive client interest and engagement.
Qualifications:
Required:
- High School Diploma or equivalent (Some college coursework or degree preferred)
- Previous office environment experience
- Advanced knowledge of Microsoft Office products (Word, Excel, Outlook, Teams)
- Tech-savvy with the ability to navigate Apple computers, Safari, and other applications
- Valid driver’s license and reliable transportation
Preferred:
- Law office experience is a plus!
- Strong verbal and written communication skills
- Ability to prioritize tasks and work independently
- Entry-level sales experience or a willingness to learn and develop sales skills
