Our client is the Midwest leader in workplace food and beverage offerings. They are currently seeking an experienced Payroll Specialist with expertise in managing payroll operations within a unionized environment, coupled with proficiency in 401(k) administration. This role will possess a deep understanding of union regulations, collective bargaining agreements, payroll processing systems, and comprehensive knowledge of 401(k) retirement plans. This role requires meticulous attention to detail, strong analytical skills, and the ability to ensure accuracy, compliance, and efficient processing of payroll and retirement contributions.
Responsibilities:
- Manage end-to-end payroll processing for unionized employees, ensuring accuracy and compliance with union contracts, company policies, and regulatory requirements.
- Interpret collective bargaining agreements (CBAs) and union rules to accurately calculate wages, deductions, and benefits.
- Collaborate with HR and union representatives to address payroll-related inquiries, discrepancies, and issues.
- Prepare and distribute payroll reports, including earnings statements, tax forms, and union-specific reports.
- Ensure timely submission of payroll taxes, union dues, and other withholdings.
- Reconcile payroll data, resolve discrepancies, and maintain accurate payroll records.
- Stay updated on changes in labor laws, union agreements, and payroll regulations affecting unionized employees.
- Assist in audits related to payroll, ensuring all records and documentation are accurate and readily available.
- Provide support during union negotiations and contract renewals by offering expertise on payroll-related matters.
- Administer 401(k) retirement plans, including enrollment, contributions, deferral changes, and compliance with IRS regulations and plan documents.
- Reconcile payroll data with 401(k) contributions to ensure accuracy and timely submission of employee contributions and employer matches.
Requirements:
- Bachelor’s degree in Accounting, Finance, Business Administration, or a related field (or equivalent work experience).
- At least 3 years’ experience as a Payroll Specialist, preferably in a unionized environment.
- Strong understanding of union contracts, collective bargaining agreements, and labor laws.
- Proficiency in payroll software and systems with experience in processing large-scale payrolls.
- Exceptional attention to detail and accuracy in data entry and calculations.
- Excellent analytical and problem-solving skills to resolve payroll discrepancies effectively.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Strong communication skills to interact effectively with employees, HR, and union representatives.
Salary : $60,000 - $70,000
