REPORTS TO : MDTC – Assistant Superintendent

SALARY SCHEDULE : MDTC – SUPPORT SCHEDULE TCBA

FLSA STATUS : NON-EXEMPT

POSITION SUMMARY: The MDTC Executive Assistant supports the MDTC Assistant Superintendent and the MDTC Executive Director by researching, analyzing and preparing various reports, creating documents and presentations, inputting maintenance tickets, creating PO’s as well as managing files & data. This position serves as a liaison between the MDTC Executive Leadership team and Mid-Del Schools Administration in regards to communicating school board agenda items, obtaining information and communicating with the district maintenance department. In addition, the Executive Assistant is responsible for uploading a variety of data/reports to multiple entities as required. This position works 7:30am-4:00pm M-F and is on a 235 day contract.

QUALIFICATION REQUIREMENTS:

  • Associate Degree or equivalent combination of education and experience. High school diploma or GED required.
  • 3 years of related experience required.
  • Strong & proficient computer skills are essential (Microsoft Office Suite, Google Drive, Gmail, etc.).
  • Proficiency or willingness to become proficient in multiple information management systems as well as CareerTech guidelines.
  • Organization, accuracy, and efficiency are essential.
  • Evidence of ability to exercise confidentiality, good judgment, discretion and effective decision-making skills.
  • Strong customer service skills
  • Demonstrated success in planning and managing various functions and projects.


ESSENTIAL DUTIES AND RESPONSIBILITIES:

Update staff salary information annually and manage PID numbers for all staff including the entry and maintenance of personnel data into CTIMS (Career Tech Information Systems).

  • Conduct research and analyze information to assist in the preparation of various reports, studies, and analysis of CareerTech and/or MDTC data. Compiles and prepares documents, portfolios, and presentations for the Executive Leadership team.
Accurately prepare letters and board documents as it relates to MDTC and submits them to the Mid-Del School’s district administration office for monthly board meetings.

Assist in the coordination of the Assistant Superintendent’s activities, calendar, and speaking engagements as well as making travel reservations for the Executive Leadership team.

Coordinates staff meetings: prepare agendas, document minutes and provide follow-up details for the Assistant Superintendent.

Assist the Business Office and other departments with various financial processes. (Ex. 1098-T’s, student payments, etc..)

Assist the Executive Leadership team in human resource functions: scheduling interviews, onboarding new employees, maintaining employee files with current credentials and certificates, inputting time & leave along with communicating information regarding employee contracts (salary, benefits, pay cycles, etc.).

Input data into a variety of software systems (Frontline, Munis, Google Drive, CTIMS, LumaTech etc..) as well as assist with various financial processes in multiple departments.

Works closely with the Executive Director regarding MDTC Operations. This includes inputting maintenance tickets, creating PO’s, getting quotes, placing orders and upload safety drill data to Oklahoma SDE and Mid-Del Schools Administration.

Ability to read and comprehend simple instructions, short correspondence and memos. Ability to compose and write grammatically correct correspondence and memos.

REASONING ABILITY:

Ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Ability to interpret a variety of instructions furnished in written, oral, diagram, schedule form, or blueprint form.

Specific vision abilities required by this job include close vision, distance vision, color vision, peripheral vision, depth perception, and the ability to adjust focus.

While performing the duties of this job, the employee is regularly exposed to fume or airborne particles. The employee frequently works in high, precarious places and in outside weather conditions. The employee frequently works near moving mechanical parts, extreme cold (including outdoors), extreme heat (including direct sunlight), risk of electrical shock and vibration.

The noise level in the work environment will vary from somewhat loud to extremely loud.

To ensure continuity of services, a different work location may be necessary in the event of a health crisis or disruptive situation that requires the closing of school and/or office buildings. An employee’s eligibility for a varied work location will be determined by the superintendent of schools. Expectations and guidelines for this change will be distributed by the employee’s supervisor, based on his/her role and responsibilities.

SUPERVISORY RESPONSIBILITIES:

Employee may occasionally be required to supervise a varying number of employees in the overall direction, coordination, and completion of tasks as assigned.
