Position Overview
The Administrative Assistant is responsible for providing administrative support to assigned management team member(s). Responsibilities include managing internal and external customer calls, preparing correspondence, supporting meetings, assisting with calendar management, and creating and maintaining files. In addition, this individual will prepare reports and assist with other tasks including, but not limited to, expense reporting, budget coordination, and similar administrative functions.
This is an on-site position.
Essential Duties and Responsibilities
- Assists with calendar management, including scheduling and confirming meetings and appointments.
- Proactively alerts manager of appointment times, schedule changes, and potential schedule conflicts.
- Helps plan travel schedule; calculates and plans for necessary travel time between appointments.
- Helps track and submit expense reports.
- Makes reservations for meetings; prepares meeting room and meeting event details as needed.
- Maintains records and files, often of a confidential nature.
- Schedules and attends meetings.
- Prepares and distributes meeting minutes and other types of management reports.
- Makes travel and hotel arrangements as directed.
- Contacts individuals within the company or at other companies to give or obtain information, as directed and within policy.
- Responds to inquiries relating to his/her area, or to requests from customers, other company personnel, etc., within given time frames and within established policy.
- Assists with communications and other tasks that may require immediate attention during scheduled work time or “after hours” as necessary.
- Prioritizes incoming information or requests as assigned; evaluates and routes requests as needed.
- Prepares, sorts, and mails printed information and correspondence.
- Prepares letters, correspondence, reports, memos, and other relevant papers; utilizes appropriate tools and systems to prepare documents as appropriate; transcribes minutes from various meetings, as assigned.
- Files and organizes documents, forms, reports, and other related information.
- Coordinates specific work tasks with other personnel within the department as well as with other departments to ensure the smooth and efficient flow of information.
- Researches information and prepare special reports as directed by department management.
- Assembles data as necessary to answer correspondence; composes, types, and signs some standard letters of reply within scope of authority; creates, edits, and/or assembles information for presentations and meetings.
- Greets visitors and directs them to proper personnel or location.
- Answers telephone in a friendly and courteous manner; assists callers if possible or transfers calls to the proper individual or department; takes messages.
- Coordinates and manages schedule; manages requests for appointments; prioritizes based on situation.
Education and Qualifications
- A minimum of three (3) years’ experience in a related administrative support positions normally required/additional education can be considered in place of experience.
- A high school diploma or equivalent with an emphasis in business curriculum.
- Proficiency with Microsoft Office products.
- Strong organizational skills and attention to detail.
- Above average written and verbal communication skills.
- Regular and predictable attendance is required.
Skill(s)
Proficient reading, writing, grammar, and mathematics skills; above average interpersonal relations and communicative skills; proficient with Microsoft Office Suite or similar software; knowledge of various office machines and equipment; a working knowledge of bank products and services, along with the operational policies and procedures that impact these products; judgement and decision making skills; ability to sit, stand, walk, bend, stoop, reach with hands or arms, use hands to manipulate objects, handle or feel, and lift items weighing 20 lbs. or less; visual, auditory and speaking skills; valid driver’s license is required.
