What are the responsibilities and job description for the Executive Assistant position at Middlesex County?
The Executive Assistant to the County Superintendent of Schools will perform difficult secretarial and clerical duties entailing a high degree of responsibility, discretion and confidentiality, using independent judgment, in addition to routine work necessary for the smooth and efficient operation of the office. Responsibilities for this position include administrative tasks such as organizing and scheduling meetings, document management and other tasks assigned. This includes, but is not limited to data entry, database management, answering phones and responding to office inquiries. Must have good organizational, time management and communication capabilities and may also run small to medium projects independently.
Responsibilities:- Provide administrative and clerical support to the Office of Superintendent of Schools
- May supervise the clerical and related operations of the department
- Maintains calendar and schedule of appointments
- Screens and routes incoming calls; greets and assists visitors; refers callers or visitors to appropriate staff members; takes and relay messages; responds to requests, complaints and questions from officials, staff and public; receives, sorts and routes incoming correspondence through e-mail and daily USPS
- Provide information to local agencies and the general public, in accordance with policy
- Timekeeper/payroll processing
- OPRA Custodian for County and State; Right to Know Custodian; Fixed Asset Custodian
- Maintain records and files
- Technology contact for Middlesex County and NJ State Department of Education; submit tickets for technical assistance and facility assistance
- Prepares administrative correspondence, memoranda, agendas and statements on behalf of an administrative official, as authorized by the Executive County Superintendent
- Interprets administrative regulations and policies as required within the department and division
- Maintain cooperative working relationships with the department and with outside departments or agencies
KNOWLEDGE, SKILLS, & ABILITIES:
- Self-starter and team player
- Ability to organize, prioritize and manage work assigned
- Thorough knowledge of Microsoft Office 365 suite
- Strong communication skills
EXPERIENCE:
- Experience working in an office or business environment
- 1-3 years of experience as an administrative assistant
- Demonstrated time management capabilities
