AR Specialist

AR Specialist Position Summary:

This position is responsible for preparing invoices for Fathom customers ensuring accuracy, completeness, and timeliness, researching internal or external customer questions, preparing credit memos where necessary, and using effective communications to reduce rework.

AR Specialist Key Responsibilities:

• Using Salesforce, Quickbooks, Syteline or other internal software information, invoice Fathom customers and ensuring accuracy of master data, part number, quantities, freight, sales taxes, and other required information
• Coordinate external customer requests with sales reps or other contacts to resolve issues or provide additional information
• Perform research to determine if a credit memo or credit / rebill are required and issue approved credit memos
• Meet monthly cut-off requirements to ensure revenue is recorded in the proper accounting period
• Prepare weekly, monthly, or ad-hoc billing reports for Finance management
• Perform special projects and ad-hoc financial reporting as required
• Some collection activity may be required

AR Specialist Preferred/Required Education and Experience:

• High school diploma and equivalent combination of secondary education and experience
• At least two years of billing experience
• Proficient in accounting software and Microsoft Office Suite or related software

AR Specialist Required Skills/Abilities:

• Excellent verbal and written communication skills.
• Thorough understanding of the billing function
• Excellent analytical skills
• Excellent organizational skills and attention to detail

Work Environment/ Hybrid:

This job operates in a clerical office setting. This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

Expected Hours of Work/Hybrid:

Expected to work on-site from the Hartland, WI office location, with remote days approved in advance by a manager. Days and hours of work are based upon Monday through Friday from 8:00 a.m. to 5:00 p.m. (excluding Company holidays). Punctual and regular attendance is an essential responsibility.
