JOB SUMMARY:

The Administrative Coordinator supports the efficient operation of the Operations, Fleet Management, and Logistics departments by performing a variety of clerical and administrative tasks.

SUPERVISORY RESPONSIBILITIES:

None.

 

DUTIES/RESPONSIBILITIES:

· Enters vehicle and equipment service and inspection data into the fleet management system software.

· Reviews and maintains the fleet dash camera footage and administrative reports related to the software.

· Maintains and files job and customer records per company procedures.

· Retrieves information as requested from records, emails, and other related documents; prepares written summaries of data when needed.

· Collect prior day jobs worksheets and upload them into the Midwest Database.

· Monitors and analyzes inventory via an enterprise resource planning system or similar control system.

· Assist Administrative Assistants with order status inquiries and special customer needs. · Maintains records, documentation, and files, particularly more complex or sensitive files such as personnel files or DOT records.

· Maintains a database of shipment data to ensure that customer orders are updated and that appropriate billing documents are provided to accounting or other associated departments as required.

· Maintains files of warranties, records, licenses, inspections, service agreements and contracts for various pieces of equipment in fleet management system.

· Could provide administrative support to others in the office.

· Performs other tasks and duties upon business needs.

Qualifications

· Extensive knowledge of DOT regulations and procedures.

· Basic understanding of clerical procedures and systems such as recordkeeping and filing.

· Ability to work independently or with a team.

 

 

KNOWLEDGE AND/OR EXPERIENCE:

Two to Five years of experience in an administrative function, with fleet management is preferred, but not required.

 

EDUCATION/CERTIFICATIONS:

High school diploma or equivalent required; associate degree or bachelor’s degree in related field preferred.

COMPUTER SKILLS:

· Proficient with Microsoft Office Suite or related software Proficient with Microsoft Office Suite

fleet management software to maintain records, input data, and create reports, with the ability to learn new or updated software.

· Proficiency with computerized distribution systems

PHYSICAL REQUIREMENTS:

Work is typically performed in an indoor office environment, with some occasional exposure to outdoor elements. While performing the duties of this job, the employee is frequently required to sit or stand, walk, talk, and listen; occasionally, the employee may occasionally have to stoop, bend, reach, and lift up to 50 pounds. Employees need manual dexterity to operate standard office equipment and a personal computer, clarity of speech and hearing or other communication capabilities to discern verbal instructions and to communicate effectively with others and visual acuity to comprehend written work instructions and review, evaluate, and prepare a variety of written materials and documents. Reasonable accommodations may be made to enable individuals to perform these functions.

WORK ENVIRONMENT:

Indoor office environment, occasional exposure to outdoor elements.

 

WORK SCHEDULE:

· Day Shift · Monday – Friday

· Occasional Overtime

· Some weekends and holidays may be required.

 

TRAVEL REQUIRED:

· Less than 10% travel.

· Occasional travel to other Midwest locations for training.
