About the Role:
We are seeking a highly organized and detail-oriented Document Controller to join our team in the Civil Engineering department. As a Document Controller, you will be responsible for managing, organizing, and maintaining all project-related documents, ensuring accuracy, accessibility, and compliance with industry standards. This position plays a critical role in supporting the team by ensuring proper documentation and records management throughout the lifecycle of civil engineering projects.
Key Responsibilities:
- Document Management: Receive, log, and file all incoming and outgoing project documentation, including engineering drawings, contracts, specifications, permits, correspondence, and other related materials.
- Version Control: Maintain version control for all documents to ensure that the most up-to-date documents are available to the team.
- Documentation Compliance: Ensure all documents adhere to company standards, procedures, and industry regulations, maintaining consistency and accuracy.
- Electronic and Physical Filing Systems: Establish and maintain an efficient filing system for both electronic and physical documents, making sure they are readily available when required.
- Collaboration: Coordinate with engineers, project managers, architects, and subcontractors to ensure smooth document flow between all parties.
- Document Distribution: Distribute documents and project-related information to relevant stakeholders and ensure timely communication.
- Tracking and Reporting: Keep track of document status, including pending approvals, reviews, and other actions required.
- Project Support: Assist in document control during the entire project lifecycle—from planning and design through to construction and handover.
- Archiving: Oversee the archiving of completed projects’ documentation for long-term storage and retrieval when necessary.
- Audit Preparation: Prepare for audits and inspections by ensuring all documentation is compliant and properly organized for easy access.
Qualifications:
- Education: A degree or diploma in civil engineering, construction management, or a related field is preferred. Relevant certifications in document control are an advantage.
- Experience: Minimum 3-5 years of experience as a Document Controller, ideally within the civil engineering or construction industry.
- Technical Skills: Proficient in document management software (e.g., Procore, Aconex, SharePoint, or similar tools), Microsoft Office Suite (Word, Excel, and PowerPoint).
- Attention to Detail: Strong organizational skills and attention to detail to ensure accuracy in all documents.
- Communication: Excellent verbal and written communication skills to liaise effectively with project teams, stakeholders, and external parties.
- Time Management: Ability to manage multiple tasks and prioritize effectively in a fast-paced, dynamic environment.
- Knowledge of Industry Standards: Familiarity with civil engineering documentation practices, construction processes, and relevant codes and regulations.
