Summary

The GME Data Specialist assists in planning and monitoring of systems and processes required to ensure ACGME Institutional and Sponsored Program Accreditation.

The position supports the MWU GME operations and staff; Associate Deans, Designated Institutional Official (DIO), AZCOM/CCOM Deans, Program Directors, Program Coordinators and Graduate Medical Education hospital staff. 

The customers served are the MWU GME Staff, Residents, Fellows, Medical Students, Program Directors, Program GME Coordinators, Resident Teaching Faculty, AZCOM/CCOM Clinical Department Staff and Major Participating Sites.

Essential Duties

Daily Operations: - 40%

  • Coordinate, track, and monitor Midwestern University GME Consortium electronic warehouse for monitoring institutional sponsor and program ACGME 10-year self-study cycles.
  • Verify that critical program details are accurately reflected in New Innovations, Canvas, Freida, AAMC & Postdoc systems.
  • Prepare and deploy resident/fellows monthly/quarterly/annual balance score cards – workhours, evaluation completion.
  • Collect and prepare reports for In-training, Board Scores and Milestones – data and outcomes
  • Monitor and track GME affiliations and program letters of agreements in NI in accordance with ACGME Data Systems.
  • Review and update MWU residency website and maintain accuracy.
  • Assist program coordinators with resolutions to Residency Management System inquiries.

Institutional and Sponsored Program Accreditation – 30%

  • Ensure timely annual deployment of internal resident/fellows, core faculty and post-graduate program, exit, polling, and orientation surveys.
  • Monitor and track Annual Program Evaluations outcome reports and documents
  • Edit and post all recorded faculty development videos in Canvas
  • Assist with development and execution of all Program Letters of Agreement
  • Coordinate and participate in on-site ACGME institutional accreditation and CLER mock and site visits.
  • Coordinate Institutional and Program10-year self-study – data collection and outcomes.
  • Assist GME operations with on-site program accreditation site visits.
  • Monitor and track resident/fellow and faculty scholarly/research and QI activities.
  • Monitor and track, institution and program citations and responses in NI.
  • Prepare and compile program and institutional data required for Annual DIO report.
  • Monitor program procedure logs for all programs, NI and ADS.

Institutional Resources – 20%

  • Monitor and designate resident/fellow program faculty access to MWU resources; Library, Canvas, PIME and AAMC
  • Facilitate resident verification for Downers Grove programs
  • Prepare and present GME system resources to residents/fellows and fellows "educational continuum" activities
  • Provide library resource access to designated Downers Grove programs and Abrazo hospital sites

Administrative – 10%

  • Monitor ACGME ADS reporting and delivery of resident/fellow/faculty outcomes – internal/external surveys.
  • Coordinate and monitor the Downers Grove office expenses (office supplies and department CC purchases)
  • Assist with GME Newsletter
  • Assist with preparation of Advisory Committee and Accreditation Committee material
  • Assist Associate Dean Interprofessional Education with Downers Grove programs and sites
  • Performs other duties as necessary

Skills Required

Must possess excellent interpersonal skills to deal effectively with the public, faculty, staff, students, residents, and fellows are required. Attention to detail and accuracy of work. Must possess a high-level of professionalism in interacting with internal and external clients. Primary support for the GME Residency management system and other resident/fellow databases, and accountable for maintenance and support, as well as advising GME leadership on ways to optimize systems performance.  Excellent oral and written communication skills; strong analysis, problem solving, trouble shooting and time management; ability to work well under pressure and manage multiple priorities and deadlines. 

Education and/or Experience         

The successful candidate must have 3-5 years related experience in medical education, healthcare education, institutional accreditation and project administration. Demonstrated ability to quickly acquire working knowledge of policies, accreditation requirements, principles, and practices of Graduate Medical Education.                          

Associates degree from an accredited college in a related field from which knowledge and skills are applicable to the job responsibilities is required, Bachelors degree is preferred. 

Computer Skills                                               

Excellent analytic and computer skills including database and spreadsheet tools. Proficient in MS Office; Word, Excel, PowerPoint, Outlook.  Knowledge of Concur or other expense reporting systems is preferred.  Advanced or Working knowledge of New Innovations Resident Management System is required.
