What are the responsibilities and job description for the Executive Assistant position at Mighty Dog Roofing?
We are seeking a dedicated executive assistant for our leadership based in Huntsville. This is a LOCAL position as there are driving tasks required, so remote candidates need not apply.
WHO WE NEED
We’re looking for somebody that is the ultimate support player. Somebody that is meticulous and organized, detail-oriented, and can always be counted on to tackle what’s been put on your plate. Somebody ready to tackle inbound calls, chasing vendors or suppliers to solve issues, or just running errands around town. Somebody with the utmost discretion on extremely sensitive topics (like payroll and employee termination) while still knowing how to connect with our rapidly growing team. Somebody ready to jump on the phone or write emails on behalf of a senior leader. And more than all of this, somebody who is able to work with minimal supervision after having tasks handed off.
WHY WE NEED YOU
The owners are wildly busy, both professionally and personally. We’re looking for somebody that can help lighten the load and take things off the plate - professionally and personally. We’re also looking for somebody that can follow-up and check in on areas to make sure that plans are being executed. One of the big challenges with a sales company like ours is that people are often remote and running from one appointment to the next. Trying to coordinate a moment is challenging.
WHAT YOU’LL BE EXPECTED TO DO
Recruiting - Handle our really recruitment process, and follow a script to handle pre-screening of candidates. Help weed out the people that just aren't going to be the right fit no matter what, and press home what the role is going to be like. Schedule phone and face-to-face interviews with other members of the team.
Calendar Management - Clean up and coordinate the executive calendar to make sure all appointments (both personal and professional) are properly sequenced and accessible. That can often be working with others (internal and external) on scheduling, moving appointments around, and time-blocking to create focus blocks for critical items for the business.
Taking Notes - When we have meetings, be the note-taker capturing the key details and making sure everybody has them at the end of the meeting.
Place Orders - We may need to order something for the office. This isn’t typically going to be job delivery/execution stuff… But rather stuff for the business on the whole. Paper towels. Printer ink.
Run Local Errands - Drop off company apparel at the laundry to be cleaned. Pick up orders from Target or Costco. Pick up dog food when we forgot to. Just the little things that take more time than we have to spare.
Schedule Personal Appointments - Call doctor offices, cleaning or maintenance people, etc, to set personal appointments for us or our children. Then make sure it fits within our calendars. If calendar items have to be moved to accommodate, reschedule.
Inventory Support - Help count inventory stock and manage how much we have of each.
Occasional Travel - We have offices in Huntsville and Birmingham. While your primary obligation will be Huntsville (where the owners are located), we may from time to time need your help in Birmingham.
Gather Quotes/Estimates - If we need quotes on something (work to be done, merchandise we are buying), help with the process of researching and gathering quotes from vendors.
Chase the Team - As business owners, we hand a lot of things off and then move on to the next. Follow-up hasn’t always remained a priority, and we’d like somebody who can make sure people are catching the balls getting thrown.
Data Entry / Clerical - There may be a wide variety of clerical tasks, copying data from one system to another or filling in values on a spreadsheet, that require support. There's also assembling sales folders and making sure all paperwork is in order.
Light Office Cleaning - We aren't expecting a dedicated office-cleaner, but we do hope to have somebody that isn't above emptying a trash can or vacuuming a floor as needed. And feel free to conscript some coworkers to help!
Phone Handling - We need somebody to field inbound calls to the company and return calls as warranted. Some of these are marketing or other services trying to sell something to us; some are inbound leads that we need to capture details and assign to a sales representative. And... Some are spam or robots and just a complete waste of time. Either way, we need to respond and handle.
