Job Summary:
We are seeking a highly organized and detail-oriented Administrative Assistant to join our team. The ideal candidate will provide administrative and clerical support to ensure the efficient operation of the office. This role requires excellent communication skills, the ability to multitask, and a proactive approach to problem-solving. In addition to secretarial duties (filing, taking phone calls, scheduling appointments, making travel arrangements), this position will provide administrative support to executive staff with office management responsibilities to include budgeting, personnel records and payroll. The Administrative Assistant may be required to work independently on projects requiring research and preparation of briefing charts and other presentation materials.
Key Responsibilities:
- Manage and organize office files, records, and documents.
- Answer and direct phone calls, emails, and other communications.
- Schedule appointments, meetings, and coordinate calendars.
- Assist in preparing reports, presentations, and correspondence.
- Maintain office supplies inventory and place orders when necessary.
- Support department staff with administrative tasks and projects.
- Process invoices, expenses, and other financial documents.
- Ensure confidentiality and proper handling of sensitive information.
- Provide exceptional customer service to clients, visitors, and staff.
- Perform other administrative duties as assigned.
Requirements:
- Security Clearance or be able to obtain one
- Excellent verbal and written communication skills
- Strong analytical and organizational skills
- Detail oriented, proactive and must be capable of multitasking
- US Citizenship and ability to obtain a Security Clearance
- Technical School Diploma and at least 3 years of related experience
