Characteristics of a Milestone Project Coordinator:
In addition to the above, we are looking for a candidate who also uniquely fulfills the specific needs of our Project Coordinator role. We need someone who is organized and detail-oriented, while also having a knack for empathetic communication, as this individual will play a crucial role in directly assisting and supporting claimants.
Primary Functions & Responsibilities:
- Execute principled and clear communication internally and externally
- Respond to all client/claimant emails or phone calls within one business day
- Identify and escalate client/claimant or operational issues in a timely manner
- Proactively anticipate the client’s/claimant’s next question and address before they ask, when possible
- Produce work that is of client-facing quality or is circulated internally with clear questions while in draft format
- Act with principle and embody Milestone’s values as the face of Milestone to our clients
- Uphold confidentiality and handle confidential material and information professionally
- Send data to and receive data from external parties in a secure manner
- Provide administrative assistance on any key projects or deliverables
- Coordinate timely and accurate execution of key activities and tasks as outlined in the proposal, orders, project documents, and/or client requests
- Take ownership of the outcome of the work produced, as well as other special projects or process improvements/strategic initiatives as assigned
- Respond to colleagues in a timely manner to keep project deliverables on schedule
- Update and complete required reporting and information entry in a timely manner
- Be respectful of your own and others’ time
- Propose solutions when identifying any problems
- Appropriately communicate clients’ needs internally
- Display a professional level of attention to detail and produce error-free work that requires little to no revisions or oversight or clearly escalate areas for feedback and assistance
- Coordinate with other operational groups and effectively delegate tasks to the appropriate team member while retaining responsibility for successful completion of the task
- Communicate and prioritize to remove any roadblocks to task completion
- Provide context and transparency while maintaining a professional and respectful tone
- Request assistance with both detail and humility
- Create timely and accurate task requests and instructions for completing tasks
Requirements & Qualifications:
- Bachelor’s degree and a paralegal certificate OR 4 years industry experience[JB1]
- Advanced computer literacy with proficiency in Microsoft Office, including Word, Excel, and Outlook
Preferred Additional Skills:
- Juris Doctor degree OR 3 years of professional legal experience with a background in mass tort settlements or personal injury
- Basic knowledge of lien resolution is ideal
- Advanced Excel abilities such as pivot tables, V/XLOOKUP, and Macros
- Familiarity with Salesforce, Asana, Power Automate, and Power BI, are all pluses

- Hours: Monday-Friday, 9am-5pm ET
