Position Overview:
The Administrative Assistant will independently manage daily paperwork, including account openings and maintenance, while supporting the financial advising team. This role requires exceptional organizational skills, a keen attention to detail, and the ability to handle sensitive information with the utmost discretion. The ideal candidate will thrive in a fast-paced environment, balancing multiple tasks with accuracy and consistency.
Key Responsibilities:
- Process and maintain client paperwork and financial documents with precision and accuracy.
- Support the financial advising team by preparing and organizing documents for meetings.
- Track deadlines and ensure timely submission of necessary forms and client documentation.
- Provide administrative support, including filing, data entry, and document management.
- Communicate effectively with clients, vendors, and internal teams.
- Ensure digital and paper records are maintained in compliance with firm policies and regulatory requirements.
- Assist with general office tasks to ensure smooth day-to-day operations.
Requirements:
- High school diploma or GED required.
- Proactive, organized, and eager to learn and master essential professional skills.
- Exceptional attention to detail and accuracy in handling paperwork and financial documents.
- Strong organizational skills with the ability to switch between tasks efficiently.
- Effective written and verbal communication skills.
- Ability to maintain professionalism in a dynamic, fast-paced environment.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook).
- Strict adherence to security protocols and handling confidential information with the highest level of discretion and integrity.
- Must work on-site at our office location.
- Fingerprinting and background check required.
Preferred Qualifications:
- Previous administrative experience, preferably in financial services or an office environment.
- Basic understanding of financial terminology and processes.
