We’re seeking a detail-oriented and strategic Procurement Coordinator to manage and enhance procurement. In this role, you’ll oversee purchasing, build supplier relationships, and optimize processes to align with business goals. The Procurement Coordinator is responsible for managing the procurement function for multiple business units within our primarily service-based business for 10 locations. This role ensures timely and cost-effective purchasing, maintains supplier relationships, and collaborates with HQ and location team members to optimize procurement processes and ensure compliance and quality within these processes. Additionally, the Procurement Coordinator contributes to the strategic vision of the procurement function by identifying long-term goals and aligning procurement strategies with overall business objectives.

Key Responsibilities :

Procurement Operations :

  • Manage the end-to-end procurement process, including reviewing and issuing purchase orders, communicating to vendors, tracking deliveries, and ensuring timely receipt of goods.
  • Review and approve invoices to ensure accuracy of pricing, receipt of goods, and coding.
  • Coordinate with location leadership and HQ departments to understand and improve procurement processes.
  • Maintain accurate records of procurement activities within inventory management software and other tools, including purchase orders, receipts, and vendor contracts.
  • Maintain item catalog(s) to include updating product names, prices, etc based on vendor info and adding / removing items.
  • Collaborate with Training & Development and Operations teams to evaluate back bar product assortment and alignment with service offerings.
  • Collaborate with the Product team to align back bar products with retail offerings to ensure cohesiveness within locations.
  • Partner with Finance and Product teams in production planning to forecast future production needs for locations based on historical ordering patterns and upcoming location needs.
  • Maintain training and documentation for procurement processes and monitor compliance with processes, regularly monitoring open POs, receipt accuracy, etc.
  • Physically visit locations when needed to implement, train, collect feedback, or troubleshoot inventory and procurement matters.
  • Report on back bar inventory count results, partnering with locations who need additional support and collaborating with Finance and Operations on solutions.

Supplier Management :

  • Develop and maintain strong relationships with existing suppliers.
  • Negotiate terms, pricing, and contracts with vendors.
  • Identify and onboard new suppliers to meet business needs, in partnership with Product and Finance teams.
  • Monitor supplier performance and address any issues related to quality or delivery.
  • Occasionally source, evaluate, and select suppliers based on quality, cost, and delivery performance.
  • Cost Management :

  • Support locations in tracking and monitoring location-specific budgets and ensuring orders fall within these budgets.
  • Identify cost-saving opportunities and implement strategies to reduce procurement expenses.
  • Prepare and present cost analysis reports to Finance, Operations and Product teams and partner with these teams to implement changes.
  • Process Improvement :

  • Contribute to the development and execution of the strategic vision for the procurement function.
  • Implement best practices in procurement and inventory management within locations and monitor effectiveness, offering hands-on support when needed.
  • Continuously review and improve processes to enhance efficiency and effectiveness, maintaining understanding of processes for location leaders.
  • Proactively solicit feedback and learn from location leaders and other HQ employees, staying curious and offering suggestions where procurement functions can be improved.
  • Collaborate with senior management to ensure procurement strategies support overall business objectives.

    Requirements :

  • 2-4 years of experience in procurement, purchasing, or supply chain roles, preferably within a services business.
  • Strong negotiation and communication skills.
  • Attention to detail and strong organizational skills.
  • Ability to work in a fast-paced environment and handle multiple tasks.
