What are the responsibilities and job description for the Human Resources / Payroll Administrator position at Millbrook School?
The Human Resources / Payroll Administrator is an exempt, full-time, 12-month position reporting to the COO/ CFO. This person in this role is responsible for administering employee benefits, processing bi-weekly payroll for non-exempt staff, and providing guidance on various HR-related matters. This role supports employee relations, ensures compliance with labor laws, manages performance, and assists with recruitment and other HR functions.
RESPONSIBILITIES:
- Assist with open enrollment and administer employee benefits (retirement, health, dental, & life insurance).
- Process bi-weekly payroll for nonexempt staff.
- Ensure accuracy and confidentiality of employee files.
- Manage all employee leaves including FMLA, STD, paid family leave, and workers’ compensation.
- Stay up to date and ensure compliance with federal and state HR laws, including ACA, ADA, OSHA, ERISA, EEO, and unemployment regulations.
- Input and maintain accurate payroll and benefits data in relevant systems.
- Work closely with managers to address employee relations issues.
- Assist in developing and implementing HR policies and procedures. Update and maintain the employee handbooks every year.
- Ensure job descriptions are current.
- Post job openings, review resumes, schedule and assist with interviews, and prepare offer letters.
- Manage the onboarding and offboarding processes, including employment paperwork, benefits enrollment, and exit interviews.
- Oversee the annual audit for the 403(b).
- Monitor and assist with performance evaluation programs.
- Assist with annual reappointment letters.
- Process background checks and motor vehicle records.
- Complete industry surveys and other related reports.
- Facilitate periodic meetings and training for non-exempt employees.
- Perform additional tasks as assigned.
QUALIFICATIONS
- Bachelor’s degree in human resources, Business, Psychology or a related field.
- SHRM certification is strongly preferred.
- Minimum 5 years’ experience in human resources and/or equivalent combination of education and experience (experience in independent schools is preferred).
- Payroll processing experience is preferred.
- Strong knowledge of the hiring process and federal and state labor laws.
- Sound judgment and problem-solving skills, professionalism, discretion and confidentiality.
- Excellent communication skills and attention to detail.
- IT Skills: Intermediate to advanced proficiency in Microsoft Office (Word, Excel, Outlook), web applications (Google Docs, Zoom, Dropbox) and HRIS systems.
