Summary
This position is responsible for the timely and accurate transcription of physician's orders, as well as relieving the nursing staff of clerical and receptionist duties. Position will support patient nursing teams in the acute care and the emergency departments with patient care and clerical support when requested.
Job Duties

- Accurately processes providers' orders using in EMR. Asks questions as they arise pertaining to orders. Frequently checks charts for orders needing to be processed.*
- Places all admission forms in the correct order. Labels all forms with patient labels consistently and accurately. Ensures all forms are updated as needed, such as Admission Face Sheet and patient contact numbers.*
- Ensures specialty charts are ready for use; OB, newborn and swing-beds.*
- Always greets visitors, directs visitors to their destination and answers questions professionally and accurately.
- Maintains inventory/keeps supplies stocked. Orders supplies from all storerooms and kitchenettes to keep adequate supplies on hand.
- File system consistently maintained. Copies of chart forms consistently maintained. Updates phone lists. Keeps the unit clean and neat, putting things away as needed.
- Keeps staff book up to date with all new admissions. Enters information in the Census Book, calls Admissions to obtain patient stickers.
- Starts patient chart, properly labeled with color code for corresponding provider, name, room number and patient status on label. Checks chart for completion; admission orders, form correctly labeled and ID bands. Calls Health Information to obtain old patient chart records and clinic charts.
- Forwards information to Infection control daily for reporting.
- Completes discharge Instructions using ExitCare and makes follow up appointments. Calls Admissions with discharge times and discharge status.*
- Returns old charts to Health Information.
- Consistently faxes needed information to the appropriate destinations; medication order sheets to patient's pharmacy, discharge orders to home health, nursing home, assisted living, etc.
- Places appropriate phone calls as delegated to hospitals, physicians, family, etc. to set up transfers. Pages for ambulance transfers as delegated. If helicopter transfer, calls maintenance to secure landing pad.
- Photocopies chart to send with patient, as indicated. Ensures all copies are correctly labeled with patient stickers.
- Copies all fax face sheets with type of appropriate information faxed and sends this to Health Information (HIPAA Regulation)
- Keeps call schedules and daily callboard current.
- Working knowledge of copy machine, computer, medical record functions and chart retrieval. Necessary skills in phone and paging system.
- Records in traumas when delegated.
- Answers phones promptly in a friendly, courteous and professional manner.*
- Takes and delivers messages to all staff promptly and accurately. Functions as a switchboard operator when required.
- Assist with patient transfers and transports patients as directed.
- Will answer patient call lights, assist with 1:1 patient observation and patient meal orders and delivery.
- Submit Trauma and Stroke records to the state of Minnesota.
- Support payroll recording and tracking authorizations as directed.
- Functions as main staffing coordinator for AC and ED and other units as directed by delegated leadership.
- Maintains confidentiality in all areas at all times.*

Required Education and Experience
- High School diploma or equivalent.
- Excellent communication skills across disciplines and at various levels.
- Excel spreadsheet, Outlook and other Word document experience
- Knowledge of medical and technical terms required.
- CNA, CMA, or MA certification and safe patient handling experience required.
- Must have experience with trauma and stroke recording and payroll HRIS schedule and timesheet tracking.
Preferred Education and Experience
- Experience as a Health Unit Coordinator preferred.
