Administrative Assistant – Office, Accounting & Customer Support
Job Overview:
We are looking for a highly organized and proactive Administrative Assistant to join our team. This role is essential in keeping our office running smoothly by handling administrative tasks, supporting customer interactions, and maintaining an efficient work environment. The ideal candidate is detail-oriented, customer-focused, and comfortable working with computers and basic accounting tasks.
Key Responsibilities:
- Provide comprehensive administrative support to ensure seamless daily operations.
- Manage phone calls, direct inquiries, and take messages with professionalism.
- Accurately perform data entry and maintain organized records.
- Organize and manage physical and digital files for easy access.
- Proofread documents for clarity, accuracy, and professionalism.
- Offer exceptional customer service, addressing inquiries and resolving issues efficiently.
- Schedule appointments and manage team calendars as needed.
- Assist with basic accounting tasks, including invoicing, expense tracking, and financial record-keeping.
- Utilize office technology and software, including Microsoft Office (Word, Excel, Outlook), accounting software, and other business tools.
- Operate and maintain basic office equipment such as printers, scanners, fax machines, and multi-line phone systems.
- Collaborate with the team to improve office processes and workflow efficiency.
- Maintain confidentiality and follow company policies.
Qualifications:
- Prior experience in an administrative, clerical, or office support role preferred.
- Strong time management and organizational skills.
- High level of accuracy in data entry and record-keeping.
- Excellent customer service skills with a professional and friendly demeanor.
- Proficiency in computer use, including experience with Microsoft Office (Word, Excel, Outlook) and basic accounting software.
- Familiarity with phone systems, scheduling, and office equipment (printers, scanners, fax machines).
- Basic accounting knowledge, including invoicing, accounts payable/receivable, and financial documentation.
- Strong attention to detail, especially in proofreading and documentation.
