Our client located in Washington D.C. is currently hiring for a Legal Receptionist responsible for managing the front desk, handling incoming calls, and assisting clients and visitors entering the law firm. They support legal staff by managing communication, scheduling appointments, and maintaining administrative records in an organized manner.
This position requires on-site work 4 days per week and allows 1 day remote weekly.
Responsibilities:
- Greet clients and visitors warmly and professionally, ensuring a positive first impression of the firm. Direct them to the appropriate personnel or meeting areas.
- Answer phone calls promptly, direct them to the correct department or individual, and take accurate messages when necessary.
- Coordinate and schedule appointments, meetings, and hearings for attorneys and legal staff, ensuring no scheduling conflicts.
- Receive, sort, and distribute incoming mail, packages, and legal documents. Maintain filing systems (both physical and electronic), ensuring files are easily accessible.
- Maintain confidentiality of all client information, case details, and other sensitive materials.
- Provide general office administrative support, including data entry, preparing client intake forms, and handling basic legal correspondence.
- Assist with processing client payments and basic billing inquiries, ensuring accurate and timely payment records.
- Ensure the front office area is stocked with necessary supplies and that the office environment is tidy and professional.
Requirements:
- High school diploma from an accredited institution
- 2 years experience working in a law firm
- Experience with Microsoft Office (Word, Excel, Powerpoint)
- Experience with Outlook
