Administrative Assistant – Marketing (Part-Time)

Hourly Pay Range: $19.88 - $29.83

Job Summary: This role will provide administrative assistance, customer service, and general support to the Marketing and Communications Division. The Administrative Assistant will also assist with special projects, event support, and purchasing. To maximize the Marketing and Communications Division’s effectiveness, this role will provide administrative support to all areas of the division, including public relations, social media, special events, and groups.
Essential Responsibilities:
Utilize programs such Word, Excel, Power Point, and Adobe Acrobat. Work with team members to create and edit documents related to donations, contracts, reports, newsletters, labels, and more.
Assemble and organize promotional materials related to Zoo sponsors of events, rides, and attractions.
Maintain and update database of media, promotional, and other division contacts.
Manage special event registration in point-of-sale system, track attendance, and transfer customer registrations. Assist with event set up and work at events.
Respond to phone, email, and social media inquiries. This can include general Zoo inquiries, special events, media, donations, Zoo membership, animal inquiries, and complaints. Monitor social media reviews and inbox. Maintain a positive culture of collaboration, accountability, and respectful behavior.
Assist with populating brochure racks, ordering and filling supplies for office, and ordering and organizing office space and furniture.
Provide support for processing invoices and payments through the finance system. Input information and organize invoices.
Minimum Qualifications:
Current resident of Wisconsin.
Valid Wisconsin Driver’s License, able to be maintained through employment.
Possession of a High School Diploma or GED equivalent.
Intermediate knowledge of all related computer and software applications, such as word processing and spreadsheets (Word, Excel, Power Point, Smartsheet, and Adobe/PDF).
At least one (1) year of experience in administrative office support.
Ability to lift/carry and push/pull up to 30 lbs.
Willing to flex schedule as needed for evening and weekend events.
Preferred Qualifications:
Basic knowledge of purchasing software.
Strong oral and written communication skills, with both individuals and groups.
